Reporting to the Director for Academic and Administrative Affairs, the Coordinator, Administration and Education, assists the Administrator by coordinating a range of HR, academic affairs, and medical education activities, including residency, fellowship, medical student and Continuing Education Series
Education Program Coordination (60%):
Coordinate onboarding, reappointment, and management of trainees and alumni for the bicampus Otolaryngology Residency, Laryngology Fellowship, Otology Fellowship, and Rhinology Fellowship programs in collaborating with and supporting the affiliated Program Directors and Site Directors for each program.
Coordinate and manage program accreditation with the relevant governing bodies (ie ACGME, ARS, etc), as well as trainee recruitment, orientation, evaluation, systems access and reimbursement in accordance to GME, ACGME, specialty specific, and University policies.
Coordinate all regularly scheduled Continuing Medical Education Series for the Department including Grand Rounds, M&M, Tumor Board and QA lecture series.
Working closely with the Executive Assistant to the Chair to provide support for one-time CME accredited lecture events.
Work with the Course Director and Vagelos Physicians and Surgeons Electives to coordinate the schedules and associated evaluations of the MCY third year Medical Student ENT clerkship as well as the 4th year bicampus SubInternship course.
Work with residents and fellows who are developing research projects to ensure that they have prepared project proposals, including budgets and IRB protocol submissions, in accordance with departmental policy. Coordinate submission of research protocols.
Maintain education program content on Departmental website.
Provide coverage for Clinical Coordinator I
Administrative Coordination (40%):
Coordinate departmental searches. Support searches for faculty and departmental leadership/management positions.
Assist the Administrator with the preparation and processing of faculty appointment and re-appointment paperwork.
Assist with other HR and administrative activities.
Assist with maintenance of Departmental website content.
As a member of the core administrative team, provide occasional coverage and backup for other administrative personnel as assigned.
Requires a bachelor's degree or equivalent in education and experience, plus three years of related experience. Strong interpersonal and organizational skills. Excellent customer service skills. Proficient with Microsoft Office Suite (e.g., Excel, Word, Outlook).
Experience with administrative activities in an academic medical center. Familiarity with relevant education program policies, including MSOW, MedHub, FREIDA, ACGME and IPRO; TAGME certification preferred
