This position will support the administration of client records, proxy voting and screening activities, and provide support to the Client team on broader operational matters. This role is primarily internal-facing but involves some liaison with clients and Custodians. This role will contribute to the accurate administration of client account records including the correct set-up, administration and maintenance of client voting services, as well as the accurate and timely delivery of relevant periodic client reporting.
Role & Responsibilities
Providing support to the Voting & Engagement Support team, including the management of special voting requirements.
Administration of online proxy voting platform and the audit of global proxy voting activities.
Respond to queries from clients, fund managers and internal staff. Liaison with clients' custodians, and internal Middle Office and Responsible Investment teams.
Administration of central client account records, including supporting onboarding of clients.
Distribute daily vote allocations, carry out checks on voting volumes and following up on late votes, errors and special requirements.
Perform data integrity checks and correcting input errors on internal systems.
Quarterly delivery of client-specific activity statistics.
You will be required to work autonomously at times, with good judgment and attention to detail when carrying out duties. The successful candidate will have experience of working in an operational / Middle office environment within the investment industry, dealing with data and account administration. Ideally, knowledge of proxy voting and an understanding of the related operational processes is desirable, with an interest in corporate governance and responsible investment
Skills & Experience
Ability to manage workload, especially during the seasonal peak for proxy voting (Mar-Jun) and reporting periods (beginning of each quarter). Works equally well independently or part of a team.
A 'can-do' attitude with excellent written and oral communication skills and a client service ethic.
Computer literate (competent using MS Office, including Excel), with experience manipulating data using pivot tables, ETL software and tools such as Power BI would be helpful, as would experience working with voting systems such as ISS ProxyExchange (or similar).
