Rutgers, The State University of New Jersey is seeking an Administrative Assistant for the Office of Graduate Medical Education. The Administrative Assistant provides administrative, analytical, computing, and staff support for the Department.
Executes assignments and tasks requiring data collection, information gathering, data entry/retrieval, database maintenance, form and graphics generalist utilizing a variety of software.
Screens calls and provides information in accordance with organizational policy.
Retrieves and appropriately handles incoming correspondence, makes appointments, schedules meetings, and responds to inquiries.
Coordinates and maintains the department calendar. Manages the Designated Institutional Official (DIO)'s time using discretion and independent judgement.
Makes travel arrangements, prepares meeting agendas, records and prepares meeting minutes.
Maintains departmental accounts, monitoring expenditures and ensuring compliance with budgets. Obtains POs, check requests and supplies, as needed. Provides input for preparation of departmental budget.
Serves as principal liaison between the department and other administrative units such as Purchasing, Accounts Payable, and Information Services and Technology.
Minimum Education and Experience:
Associate’s Degree in Liberal Arts, Public or Business Administration, the Social Sciences or a related field.
Two (2) years of administrative/secretarial experience in a business office, government agency, or university setting
Required Knowledge, Skills, and Abilities:
Excellent communication, writing, verbal and interpersonal skills.
Self starter with a high degree of accuracy and attention to detail.
Ability to work independently, set priorities, and work under pressure to meet time deadlines.
Proficiency with Microsoft Office software applications.
Travel between campus office locations (Newark, New Brunswick,) may be required on occasion.
