Pratt Institute's Counseling Center is seeking an Administrative Clerk to join the Counseling team that has previous experience in a service-oriented health or mental health care setting.
Under moderate supervision and with moderate latitude for independent judgment perform front desk reception, clerical, and administrative duties in support of the Counseling Center.
Greet and screen individuals who request counseling services, using independent judgment to assess and prioritize their needs (including determining if the need requires immediate crisis counseling).
Respond to in-person, electronic, and phone inquiries from students, parents, faculty and administrators about our services, while maintaining student's confidentiality.
Compose and when applicable upload to student Electronic Medical Record computer memos, letters, confidential reports, etc. (such as, sending emails inviting students to Counseling when indicated and following up on non-responses; reminding students of upcoming first appointments, etc.).
Utilizing Electronic Medical Record system to maintain appointment calendars and files for the director and all other Counseling Center staff.
Assist their supervisor (Administrative Manager/Assessment Coordinator) in gathering information about student's non-Pratt health insurance policy for mental health care (deductibles, copays, for in-network and out-of-network providers, etc).
Assist their supervisor (Administrative Manager/Assessment Coordinator) in responding to student Pratt Health insurance inquiries and on-line waiving and enrollment.
Assist their supervisor (Administrative Manager/Assessment Coordinator) in maintaining the Counseling database for referrals of in-network and out-of-network mental health providers (i.e. contacting providers to gather information about their availability and what insurances they accept; adding new providers to the database; etc.).
Assist their supervisor (Administrative Manager/Assessment Coordinator) in gathering information about the Center's usage statistics (i.e. develop and maintain a record keeping system to keep track of wait-times for student's first appointments; gathering statistics of service usage as entered in Electronic Medical Records; etc.).
Perform office management duties (i.e., process incoming and outgoing mail; photocopy and collate materials for distribution; coordinate departmental time sheets and vacation records; coordinate with facilities as needed etc.).
Arrange Counseling events such as workshops, discussion groups, brown bag lunches, etc. as directed.
Order office supplies and process and track check requisitions, purchase orders, keeping track of monthly expenses for supplies, etc.
Perform all other related duties as assigned.
Education: High school diploma or equivalent required; college preferred.
Experience: 2-5 years of office experience in a service-oriented health or mental health care setting required.
Skills: Excellent interpersonal, organizational, and communications skills; a demonstrated ability to use discretion and independent judgment required. Must have data entry, word processing and spreadsheet software skills. Knowledge of medical terminology highly desirable. Ability to establish and maintain working relationships with staff, faculty, and students from diverse backgrounds, as well as foster development of positive environment for diversity and inclusion.
