Job Requisition Number: 26847. The Bancroft Library provides access and services to researchers who need to make use of the rare-book, manuscript, and other research special collections for which it is responsible. This includes all aspects of collection management to provide researcher access. The Bancroft Reading Room serves over 5,000 researchers every year and circulates more than 12,000 special collections items in diverse formats from multiple locations and classifications.
The position provides support for The Bancroft Library’s public service operation including: processing incoming requests made via the online request system (Aeon); forwarding to other TBL divisions researchers’ service orders; resolving all issues involving multi-researcher/staff use of single items; coordinating approval workflow for the use of restricted and unprocessed collections; and serving on and managing the Bancroft Reading Room circulation desk.
Key Responsibilities include: •Serves at the Circulation public service point - the Circulation desk is in the reading room and is the service point for all items retrieved for and delivered to researchers as well the service point for all returns. Circulation desk staff verify all requests for material, generate a paging form, supervise and instruct the student pages on locations of items and paging procedures, monitor in-use materials, deliver and explain handling policies to the researchers, receive back from the readers returned items, verifying that they are in proper condition, discharge or put on hold all items as appropriate, and oversee student pages processing returns for the stacks and for separate NRLF off-site storage, resolves all problems related to requests and forwards issues to Head of Public Services or Cataloguing as needed. •Manages flow of Aeon requests. Verifies and ensures accuracy of the citations received via the online Aeon requesting system; corrects errors and completes missing information within requests to conform to standard guidelines - this often entails negotiations with researchers via email, sharing local finding aids and interpreting holdings records within the catalog; and forwards requests through the request system and follows up with staff. Keeps notes and creates traceable brief references and documents decisions concerning materials in order to share with other BPS staff and staff at public service points. Routes requests for 3 separate student workflows (clear holds, staff paging, researcher will call paging) based on evaluating available staffing, scheduled visit dates of users, and available stacks or reading room space •Supervises the Circulation public service point including consults with Stacks Manager and Head of Public Services on policies and procedures. Keeps the Aeon circulation manual up to date, and contributes to updating and expanding user guides (LibGuides, Bancroft website, Aeon website), trains new staff on Aeon and Millennium circulation functions and reading room operations, and monitors reading room supplies to coordinate restocking with TBL Administrative Services. •Oversight of the Access to Restricted Collections and Appointments operation. Serves as the first point of communication between all researchers needing appointments for use, and approvals for use, of fragile and restricted material. These materials are governed by various staff in different departments and require separate procedures for logging requests for use of rare books, photographic negative use, phonotapes, and other endangered formats. The position follows up with staff and users making final arrangements via the catalog and in-house Aeon system as needed. •Performs Millennium tracking and formulaic alterations to the templates, macros, standardized catalog notes; adheres to campus wide guidelines for all tracking, in transit, check-ins, on-search etc. procedures; follows standard procedures for common Bancroft issues surrounding restricted, unprocessed, large format, special format materials. •Supervises and completes student time cards in absence of Stacks Manager. •Pages materials from stacks and secured vault area: this involves handling requests for materials from researchers and staff by finding the items in Bancroft’s multiple storage locations, updating the Aeon records as the items are found to show the next stage of location and delivering the items either to the reading room or staff offices as stipulated in the Aeon requests.- Related library or special collections experience - Demonstrated experience with bibliographic searching and library catalogs - Experience with Microsoft Office and Google applications - Attention to detail in high-pressure situations - Ability to lift up to 40lbs, climb ladders, and work for prolonged periods in 60-62 degree temperatures - Ability to communicate detailed instructions/resolutions to others clearly with confidence verbally and in prepared documents/email This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
