Rutgers, the State University of New Jersey is seeking an Administrative Coordinator II for the department of Pathology at the New Jersey Medical School. The Administrative Coordinator II performs a wide variety of administrative services within the Department of Pathology, Immunology & Laboratory Medicine. Coordinates office support operations.
Maintains Chairman's calendar – Exercises considerable discretion and independent judgement in handling day-to-day matters on behalf of the Chair.
Manages all departmental meetings/events (monthly meetings, faculty/guest visits, etc.) including planning and coordinating, create itineraries, ordering food, creating flyers/invitations (as needed), coordinating audio/visual needs, escort, set up and clean up (Monthly Faculty meeting, UPA meetings, Basic Science meetings, etc. )
Assists with travel arrangements, hotel, interviews, itineraries and multi-facility visits for department as well as recruitment efforts (Faculty/Staff).
Monitors Faculty attendance (monitoring faculty time – send out FMLA info, as needed)
Acts as Liaison for departments that require reports and data; Provide faculty with information regarding departmental issues.
Assists with the preparation of the annual Chief of Service report (requesting/typing/editing reports);
Assists with Annual Faculty evaluations (requesting/typing/editing).
Assists with the collection and submission of faculty appointment documentation
Responsible for the collection and distribution of Physician Time studies.
Assists faculty with telecommunication issues (phone service; international access); parking and IDs; maintenance issues.
Creates and maintains departmental faculty contact lists
Provides administrative and program support to the Sr. Director of Administration
Minimum Education and Experience:
Bachelor's Degree plus one (1) year of administrative experience in a government agency, university setting or large business office with responsibility for office management, preparation of reports, supervision of staff.
Equivalent experience, education and/or training may be substituted for the education.
Required Knowledge, Skills, and Abilities:
Must be proficient in computer applications.
