Budget Title: Staff Assistant (SL-2)
Salary: Commensurate with experience (Full-time 10 month/College Year position)
The Accounts and Budget Specialist for Theatre is responsible for all financial activities/reports for the Theatre department according to SUNY standards. The department produces theatrical productions which both cost money and bring in income, through a variety of methods. This position provides financial and logistical support for the mainstage and studio seasons.
Monitor the department budget, track expenditures, travel reimbursements, revenues and requisitions for purchase orders.
Assist in planning and managing departmental budget to assist with monthly reconciliations, including travel, procurement card administration, office and classroom space management, time and attendance assistance, oversee student employees, petty cash, travel, hosting, office supplies, financial support for marketing and promotions.
Responsible for all business aspects of the department, in addition to some personnel in coordination with the Department Secretary. Logistical support for the hiring process and guest speakers.
Responsible for room key management, theatrical and music rights, studio front of house coordination, serving as back-up building administrator, department space card readers, donations and thank you letters.
Mail processing and coordinating activities with the other Arts Departments.
In addition, this position shares responsibility with two other Professionals to keep the Theater office open and functional as well as providing support to the faculty, staff and students of the dept. All of the listed support services this position provides are designed to keep the Theater Department's members productive and the department running smoothly.
Bachelor's Degree and 2-3 years of related work experience
Good time-management and organization skills with ability to prioritize
Proficient use of Microsoft Office Suite, primarily Excel
Adaptable and flexible when dealing with the unexpected and ever changing workflow
Demonstrates attention to detail and can work with accuracy and thoroughness
Ability to maintain confidential information
Clear written and verbal communications skills
Thrives in a lively team environment
Training in Professional Accounting practices
Pre-existing knowledge of SUNY's Finance Systems
Knowledge of, or experience, with Theatre or performance
