Supervised by the Senior Vice Dean, School of Professional Studies, Coordinator provides operational and administrative support to the Senior Vice Dean; and maintains discretion and professionalism while dealing with highly confidential information.
Please note, this is a Full Time (35 hours a week) position.
Serve as operational coordinator for the Office of the Senior Vice Dean, providing overall support Tasks include but are not limited to:
- Serve as the first point of contact to visitors of Office of the Senior Vice Dean, many of whom are high profile, and direct incoming guests to the appropriate location - Act as liaison between the Senior Vice Dean and colleagues, students, faculty, staff, alumni, and donors - Represent the Senior Vice Dean in matters of administration, executing highest level of professionalism and confidentiality - Maintain calendars, internal and external - Plan all travel planning and process reimbursements for Senior Vice Dean - Manage incoming calls with proper judgment and professionalism - Manage conference room scheduling and calendars - Act as liaison and coordinate with CU catering and outside food vendors for meetings and events - Assist with technology setup/coordination for meetings and events, with comprehensive understanding of the utilized technologies - Ensure smooth function of workflow and coordination of senior leadership (senior staff and Senior Vice Dean) including calendar conflicts, meetings and logistics - Draft and initiate correspondence, including public presentations and classroom lectures. - Coordinate communication and assist with meeting and event planning, implementation, and tracking (e.g. annual events; governance and advisory board meetings, etc.) - Assist with strategic project planning and implementation - Project research and coordination, as needed
PERFORMS OTHER DUTIES AND SPECIAL PROJECTS AS ASSIGNED OR REQUESTED
Bachelor's degree or the equivalent required. One year of related experience required.
- Excellent organizational, interpersonal and communication skills - Ability to understand office priorities and be proactive - Ability to work under pressure and deadlines, and carry out multiple tasks independently, with limited supervision - Attention to detail and accuracy - High level of proficiency with PC and Mac platforms, including the following programs: Microsoft Office Suite, Adobe, Skype, Internet and email applications - Track record of handling sensitive information with highest level of professionalism and confidentiality
