We have an exciting opportunity to join our team as a FGP Asst Site Director.
In this role, the successful candidate Under the direction of the DOM Medical Director and Department Administrator, this position is responsible for oversight and management of front and operational activities and adherence to policies and procedures of the Department of Medicine's Faculty Group Practice, for the Department's 41st Street site, comprised of General Medicine, Infectious Diseases, Pulmonary, Nephrology and Diabetes and Endocrinology. This key role will collaborate with the practices to implement, optimize and monitor operational performance of front end activities, policies including the ambulatory call center for customer service and appointment scheduling, front end practice redesign to create a new/unified/consistent standard for all faculty group practices, and other initiatives. This position will work closely with colleagues in the Faculty Group Practice to implement system wide initiatives.
CLINICAL MANAGEMENT: Plans, direct and coordinates the day-to-day activities of a multi-specialty and multi-site practice to include a total of 15+ physicians and 50+ support staff Responsible for implementation of FGP and DOM planning decisions and enforcement of policies and procedures. Develops and maintains ambulatory policies and procedures for the administration across all the practice locations. Assists in the development of the practice's vision and strategic plans, as well as executing the recommendations and initiatives.
Selects, assigns, supervises and evaluates clinical and administrative support staff; oversees personnel administration with human resources department; carries out disciplinary action as necessary. Plans, develops, directs and monitors initiatives to improve patient care. Collaborates with the Facility Managers to ensure the safety and comfort of patients and employees, including the development of emergency action plans.
Oversees the business office functions of the practice and serves as primary practice contact with billing vendors. Plans, develops, directs and monitors initiatives to improve revenue cycle processes and productivity. Implement and optimize template management per Department policies.
Work with the FGP and divisions to onboard new faculty as needed. Partner with Division Administrators with regard to clinical operations of assigned departments. Oversees the clinical and administrative information systems in collaboration with the FGP and SOM Information Technology contacts to enhance the clinical operations and business activities for the practice and all its locations.
Develop and monitor key indicators and benchmarks for practices, including productivity and quality. Improve performance to expected benchmarks, and review and disseminate information to practices on a regular basis. Assist in key FGP initiatives such as meaningful use. Interacts with Business Managers from various departmental FGPs on issues related to sessional providers
Establishes call triage plans leveraging local resources and the FGP call center where appropriate. Oversees patient satisfaction results and adjusts work flows to address issues as needed. Develops staffing models consistent with practice standards and optimal customer service. Oversee and manage any required training programs on policies and procedures to maintain standardization amongst the FGP. Works closely with Directors, Administrative Practice Managers, Epic Operations, Central Billing Office and the Revenue Integrity team to identify opportunities to improve the revenue cycle via front end processes.
Works with FGP clinical leadership to ensure all requirements are met for accreditations and certifications. Monitors inbaskets and open encounters to ensure outstanding items are addressed in a timely manner.
Maintains web based information for providers in patient access.
Leads others in accomplishing optimal clinical operations within FGP's standards.
FINANCIAL MANAGEMENT Participates in financial management including participation in business development and facilitating the accomplishment of RVU targets.
In conjunction with Faculty Group Practice leadership, collaboratively responsible for implementing business plan components and monitoring achievement of benchmarks and goals.
Manages billing and front end processing for all the locations including authorizations, referrals, charge capture, co-pay collection, etc.
Meet regularly with Faculty Group Practice leadership to report operating and financial results.
MISCELLANEOUS Assist in troubleshooting institutional issues as they relate to the FGP. Keep up on regulatory policies and industry changes that may affect the manner in which we conduct business. Disseminate this information to the FGPs and FGP staff. Keep abreast of new practice management products and technologies that may enhance operational efficiencies and revenue enhancement. Works with credentialing to onboard new providers to plans. Manage equipment including asset acquisition, maintenance, end of useful life planning, and proposals for new/replacement items. Works with marketing to develop targeted tools promoting providers and services. Collaborate with facilities to operationalize new space and renovations. Develop orientation and training programs for new staff.
To qualify you must have a Bachelor's degree and 6-8 years' experience in medical practice management and/or equivalent combination of education and experience, preferably in a large multi-specialty group practice or academic medical center; masters degree preferred. Successful track record in leadership and staff management. Strong understanding of the theories, principles and processes of physician office and revenue cycle management. Demonstrated success in working with physicians. Experience with IT systems used in medical management. EPIC (EMR/Registration/Billing) experience required. Knowledge of applicable data privacy practices and laws. Strong written and oral communication skills. Strong interpersonal skills. Ability to present ideas in user-friendly language. Highly self motivated and directed. Keen attention to detail. Proven analytical and problem-solving abilities. Ability to effectively prioritize and execute tasks in a high-pressure environment. Strong customer service orientation. Experience working in a team-oriented, collaborative environment.
Master's Degree preferred.
