Under the Direction of the Associate Dean for Graduate Medical Education (GME) and the Director and Assistant Director for GME, is responsible for compiling, analyzing and presenting quantitative and qualitative data in various formats and maintaining longitudinal data bases of house staff officers’ academic performance. Will assist in the assessment of educational program outcomes and compliance with Medicare and state licensing boards rules and regulations. Interfaces GME records with outside credentialing agencies.
ESSENTIAL DUTIES AND RESPONSIBILITIES includes the following:
Directs the registration, verification of training and credentialing requirements of house staff officers. Administers departmental data bases and analyzes house staff records to insure that academic requirements for advancement from medical school to internship, from internship to residency, from residency to fellowship, and for graduation from completed programs are all met.
Coordinates preparation of certificates of completion for graduating trainees.
Assists in the design of data bases for longitudinal evaluation of the educational programs capturing such measures of house staff performance and program outcomes such as COMLEX scores, Specialty Board Examination scores, residency and fellowship selection and career location choice of graduates. Data sources may include a variety of paper and electronic formats.
Prepares ongoing and retrospective statistical reports using information derived from these data bases to support university grant applications.
Counsels house staff on the completion of Permit and licensure applications for NJ state permit and licensure of senior house staff.
Counsels house staff on the completion of out of state licensure applications.
Coordinates receipt of paper-based data from house staff, departments and offices, and inputs student data into Graduate Medical Education database with proper attention to quality control for accuracy.
Manages house staff records and ensures that confidentiality of those records is maintained.
Notarizes verification of training for military and fiscal deferment letters for current house staff trainees.
Assists the Associate Director and Assistant Dean in designing and implementing new procedures for collecting, compiling, analyzing and presenting data in response to requests from the Dean's Office, academic dept., affiliated training institutions etc.
Maintains procedural manual for all data collection, verification and data entry functions. Maintains documentation for design of all customized databases and analytic operations.
Recommends and assists the Director and Assistant Director with the acquisition of hardware, software, and devices to improve office operations and performs specialized data entry tasks.
Accesses web-based resources, conducts content searches, receives information, downloads files and distributes information to designated parties.
Assists the Associate Dean in running and updating the GME office’s Wellness Plan.
Assists the Associate Dean and Director in working with program directors and coordinators in applying for and maintaining Osteopathic Recognition status for their GME training programs through the ACGME.
Assists program directors and coordinators in applying for and maintaining accreditation status for their GME training programs through the ACGME.
Assists program directors and coordinators in registering for and participating in fellowship matching programs, including review and approval of applications in ERAS, and submission of rank order lists.
Coordinates the procedure for visiting residents to complete audition rotations, including affiliation agreements and applications.
Assists the Director and Assistant Director in regular review and updating of GME contracts and agreements through the Meditract system and with Rowan’s legal office.
Attends conferences and meetings relative to the Credentialing and Registrar Office.
Understands and adheres to Rowan's compliance standards as they appear in Rowan's Corporate Compliance Policy, Code of Conduct, Immunization Policy and Conflict of Interest Policy.
Keeps abreast of all federal, state and Rowan regulations, law and policies as they presently exist and as they are changed or modified.
Performs a variety of administrative functions to support the operation of the Graduate Medical Education office such as copying, faxing, answering phones and special projects.
Other related duties as assigned.

EDUCATION and/or EXPERIENCE:
Bachelors Degree in Education, Business Administration, School administration or related field and a minimum of three (3) years of experience in graduate medical education or student registrar’s office setting required. Experience should include three to four different areas of registration, including admissions, academic records, data base management, ACGME ADS system, or graduate medical education program coordination. Excellent writing and public speaking skills are essential. Database and internet proficiency required.
