Description The Administrative Assistant will report to the Associate Vice President of Effectiveness and Strategic Planning (AVP ESP). The position will perform duties relevant to office management, college governance, the institutional review board, all-college events, strategic planning, accreditation, and other tasks.
To be successful, the Administrative Assistant will be detail oriented and efficiency driven. They will engage positively and collaboratively with a diverse and multicultural community to promote college programs and initiatives. The Administrative Assistant will need to have effective written and verbal communication skills, be able to solve problems creatively, organize and manage documents, and fulfill the following responsibilities: Provide administrative support and perform confidential duties for the Associate Vice President of Effectiveness and Strategic Planning (ESP) and colleagues in the Office of ESP. Contribute to ESP goals and objectives through research, planning, directing, and other support. Manage day-to-day operations in ESP and contribute to special projects. Manage website and intranet sites and other communication strategies.

ESSENTIAL FUNCTIONS/TYPICAL DUTIES Administrative Support: Provide administrative support to the AVP ESP and other staff in the Office of ESP. Serve as a liaison with administrators, faculty, staff, and students, including outreach through internal communications and representation at meetings. Organize production of a quarterly newsletter and other communications such as websites and intranet sites. Maintain and monitor ESP office budgets. Maintain knowledge of college policies, state and federal laws impacting the college, and accreditation requirements. Other duties as assigned Institutional Review Board Coordination Coordinate the work of the Institutional Review Board, which approves research involving human subjects at the college. Collaborate with faculty, staff, and students to facilitate IRB submissions. Manage document and work flows, including setting meetings and communicating decisions. Maintain documentation to meet federal compliance and monitor the external regulatory environment to ensure accurate processes. Provide an initial review of submissions. Research, Reports, and Special Projects Research, prepare, and review documents such as policies, reports, surveys, and other communications. Collaborate across the college on official documents. Organize college-wide events. Contribute to initiatives such as strategic planning and other college-wide efforts.
Bachelor's degree from an accredited institution in a relevant field. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis Ability to establish and maintain effective working relationships with persons from diverse educational, economic and cultural backgrounds Ability to maintain confidential information Effective written and oral English communication skills, including business writing skills
PREFERRED QUALIFICATIONS: Experience working in higher education or state government Work experience demonstrating the ability to conduct research, compile and analyze data Proficiency with Microsoft Office suite products including Word, Excel, PowerPoint, Outlook, and SharePoint
