The Administrative Support Assistant III is responsible for providing administrative support for the Dean of Students (DOS) Office, Student Government Association (SGA), specifically one Associate Dean of Students and a Coordinator. Supports daily office operations including document and meeting preparation, answering phones, scheduling appointments and meetings, processing mail, filing, travel processing, and updating departmental databases and records.
Department Operations: Uses SSB and CS Gold to create and maintain student files for use in student meetings, disciplinary reasons, emergency or illness situations; Manages the absence notification process including, but not limited to, notifying instructors by email of students' absences from class due to illness or other reasons, reviewing and verifying documentation and inputting information into Maxient; Manages the DOS email account by responding to questions and concerns and making referrals as appropriate; Provides administrative support for all Office of the Dean of Students initiatives and care and support programs & services; Ensures FERPA compliance, survey distribution, and appropriate follow-up; Assists with honors and awards selections and perform graduate point average verifications; Attends one-on-one and group meetings with supervisors and staff as scheduled.
Administrative Support: Answers phones for the Office of the Dean of Students and decides how to direct calls and takes accurate messages; Maintains appointment calendar for the Associate Dean of Students and a Coordinator; Prepares and organizes meeting files along with arranging meeting events, including room reservations, ordering food, etc.; Establishes confidential student files using Banner and IRIS for the Associate Dean and Coordinator; Composes and edits correspondence and presentations; Provides backup administrative support for the Assistant Vice Chancellor and Dean of Students (AVC & DOS), another Associate Dean of Students and support staff.
Travel/Searches: Arranges travel and lodging requirements for the Associate Dean of Students and Coordinators and processing required information for registration fees, travel reimbursements, etc. in IRIS; Provides administrative support for departmental search committees (i.e., travel arrangements, interview schedules, etc.)
