Coordinate the daily administrative support operations for the Office of Health Services. Facilitates the efficient delivery of patient care, supports the professional role of the licensed staff, and provides support and assistance as directed by licensed staff in rendering basic healthcare to the patient. Provide a variety of clerical, secretarial, and administrative support functions. Perform functions of Medical Receptionist as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Oversees the office area to ensure a clean and safe environment.
Assists with the review of the medical records of all incoming students. Checks for specific medical conditions and notifies manager in accordance with program guidelines.
Assists Director in tracking Rhode Island state requirements of required immunizations for college entrance. Notifies students when state required immunization records are incomplete. Enters student immunization record information and tracks noncompliance.
Maintains department medical records, files, updates and purges records as necessary.
Schedules appointments and assigns the appropriate amount of time with provider.
Prepares patient charts prior to scheduled appointments. Anticipates and adjusts to changing needs in the clinic work load. Collaborates with other team members to meet patient care needs and facilitate efficient flow of patients.
Greets and receives students and staff. Assesses needs, verifies appointments, and instructs patients on completion of appropriate forms.
Assists in routine clerical functions such as filing of patients' records, locating and compiling department charts, obtaining medical records from other providers.
Performs other functions of the medical receptionist and other related functions as needed.
Under the direction of the licensed staff, schedules appointments, procedures and diagnostic tests.
Maintains inventory and orders all supplies and medications under the supervision of the Director.
Monitors and cleans assigned patient examination rooms, unit areas and unit equipment reporting outdated supplies, stock levels and restock set levels of items and necessary equipment repairs.
Completes appropriate follow-up up work after visit including but not limited to ensuring all specimens are properly labeled recorded and ready for pick up by the lab.
Perform Clinical Laboratory Improvement Amendments (CLIA) Waved Lab tests controls for in-house testing such as strep; flu; mono, glucose, hemoccults, hCg.
Performs testing procedures such as temperature, pulse rate, blood pressure, pulse oximetry, glucose, urinalysis, rapid strep testing and other point of care tests.
Acts as a chaperone for health care providers during patient examination as requested and assists with procedures.
Assists Director with development and maintenance of annual budget.
Serves as a referral source for students, parents, and staff regarding non-medical issues, i.e. insurance questions.
Produces a variety of correspondence and other documents and performs various administrative support functions.
Maintains and administers patient satisfaction survey. Compiles end of the year report of survey with results.
OTHER DUTIES AND RESPONSIBILITIES:
Maintains established department policies, procedures, objectives, quality assurance, safety, and environmental control.
Assist office staff with projects, as needed.
Trains and orients medical receptionist staff.
High School Diploma or GED. Associate's degree preferred.
Graduate of a formal medical assistant training program or a minimum of three years of medical assistant experience required.
Exceptions to the above requirements may be considered for applicants who do not have formal medical assistant training but have at least three years of related experience in a comparable role such as an LPN, EMT, paramedic etc.
Currently certified in Basic CPR.
Minimum of two years medical office experience, preferably in a student health services setting.
Proficiency with Microsoft Office applications.
Strong verbal, written, and interpersonal communication skills.
Strong organizational and office coordination skills.
Serve as resource and lead to subordinate clerical staff.
