The New Jersey State Library seeks a Project Specialist candidate with excellent organizational and communication skills, strong attention to detail and a commitment to customer service to perform and coordinate a variety of functions and services under the supervision of the Chief Financial Officer, including: supervision of staff, building and equipment maintenance, purchasing and leasing, inventory, shipping and receiving, reprographics, mail and delivery service, as well as maintaining all associated records. Does other related work as required.
• Supervise the Administrative Support Services unit, including shipping; receiving; messenger and delivery service; copying services; and building and equipment maintenance, ensuring work is completed in an efficient, timely, courteous and accurate manner • Ensure that the State Library building and office equipment contained therein, is maintained in a safe and usable condition according to recommended maintenance schedules • Manage the delivery of mail between all Library facilities, the University, and the Capitol Post Office • Manage office supplies and Library supply room, including purchasing supplies within budget • Manage parking permits and security identification for Library staff • Maintain accurate records for all fixed assets including property returned by staff when employment ends • Provide support to the State Librarian including vehicle maintenance and other administrative support as needed • Update and maintain processes and procedures affecting the Administrative Support Services unit • Work on special projects as needed
Knowledge, Skills & Abilities:
• Supervisory experience including the coordination of schedules and the completion of staff evaluations • Familiarity with various types of office equipment and technology, including copiers, printers, paper-folding and binding machinery • Experience with postal and external carrier delivery services • Ability to establish and maintain cooperative working relationships with Library and University staff, Treasury personnel and outside vendors • Ability to assess problems and come up with functional solutions • Basic construction and general contractor-related skills • Excellent communication skills, both verbal and written • Ability to multitask when presented with competing priorities • Experience using Microsoft products such as Office, Excel and Word
Education and Experience: Commensurate with the level of expertise a project demands.
The ability to lift and carry items weighing 50 pounds including packing and unpacking boxes.
