Rutgers, The State University of New Jersey, is seeking a Program Coordinator in the Oncology Nursing Department at the Cancer Institute of New Jersey.
The primary purpose of the Program Coordinator is to perform a variety of administrative and staffing support services for the Oncology Nursing Services department of The Cancer Institute of New Jersey. Coordinates the administrative process for the onboarding/exit processes for all employees; including orientation, annual licensing, and EMR access. Serves as a point person for the clinical staff to assure patient care is efficient and effective. Develops and implements plans and procedures to ensure efficient operational and administrative systems are maintained.
Among the key duties of this position are the following:
Identifies departmental staffing needs and maintains confidential personnel files and correspondence. Coordinates performance evaluation reviews.
Communicates with staff schedule changes, in-services and meetings in a timely manner.
Maintains time and attendance records, ensures timely completion of forms for Human Resources, including but not limited to payroll, staff evaluations, FMLA forms, travel forms, etc. Completes sick and overtime reports as directed.
Evaluates secretarial procedures, establishes standards and institutes new or modified procedures. Actively participates in the policy and procedure committee. Makes changes to policies as recommended by committee and/or preparer of policy. Submit for signatures in a timely manner. Uploads completed policies to Cancer Institute intranet.
Maintains the Nursing management team's appointment calendar and ensures accuracy. Establishes priorities and schedules appointments at own discretion to make the most organized use of time. Handles multiple schedule changes as necessary.
Schedules and coordinates large number of meetings involving internal and external constituents. Responsible for reserving meeting room and ensures that all materials needed for meetings are available, including AV materials and any required handouts. Provides Director and/or manager with folder of meeting prep information at 48 and 24 hours pre-meeting date. Prepares minutes accurately to capture the essence of meeting discussions. Completes all minutes within one week of the meeting time.
Minimum Education and Experience:
Bachelor's Degree in a related field plus three (3) years of administrative or related experience.
Equivalent experience, education and/or training may be substituted for the education requirements.
Supervisory and/or management responsibilities.
Bachelor's Degree in Business Administration, Finance, Education or a related field, plus three (3) years of professional administrative/management experience in a government agency, university setting or large business office.
Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access and PowerPoint.
Outstanding human relations and leadership skills and the ability to function in a team environment.
Strong customer service orientation.
Effective oral and written communication skills.
Ability to communicate and promote ideas and transfer detailed knowledge to others.
Knowledge of how to accomplish superior performance in a unionized environment.
Physical Demands and Work Environment:
PHYSICALDEMANDS: Standing, sitting, walking, talking and hearing. No special vision requirements. Lifting up to 25 lbs.
