Harvard's Financial Administration Department (FAD) is responsible for the stewardship of the University's finances, including related business processes and technology. FAD is dedicated to supporting the teaching and research mission of the University by providing outstanding financial services to the Harvard community; by providing support, guidance and consultation; by working to ensure compliance with University and federal guidelines; by mitigating risk; and by promoting the financial health of the University.
The Billing Coordinator is a part of the Harvard University Student Accounts team, which bills 20,000 students monthly for tuition and fees.
The Billing Coordinator works independently and prioritizes effectively in a dynamic environment, coordinating complex billing processes and serving as the principal billing and data contact for staff, students, sponsor organizations, and the Department of Veterans Affairs.
Key responsibilities include:
Serves as principal administrative contact and liaison regarding student billing, data, graduate student stipends, third-party billing, and veterans' benefits. Provides superior customer service while advising staff and students on regulations and procedures.
Owns and manages student data. Responsible for assigning pseudo social security numbers for international stipend recipients. Processes weekly biographic data files from Registrars' offices, analyzing and resolving discrepancies and updating student records manually and in batch. Assures compliance with University requirements and anticipates, analyzes, and resolves problems related to student data. Runs regular exception reports and resolves discrepancies.
Coordinates and has direct responsibility for all aspects of the production of monthly graduate student fellowship stipend payments, including entering stipend transactions into PeopleSoft, reviewing and analyzing complex data and reports to anticipate and resolve problems, and enforcing compliance with University policies. Independently owns monthly stipend payroll.
Coordinates and has direct responsibility for all aspects of third-party billing, including analyzing letters of sponsorship, setting up student and sponsor records in PeopleSoft Campus Solutions, preparing billing statements, processing payments, and performing collection work on delinquent accounts.
Coordinates and has direct responsibility for certifying students who apply for Veterans Administration (VA) benefits. Analyzes student requests and certifies students online in the VA application, ensuring compliance with University and federal government policies. Maintains data in FileMaker database. Communicates to students and financial aid offices about student benefits.
Prepares and analyzes reports using PeopleSoft Campus Solutions
Creates and maintains documentation of business policies and procedures
Other duties including supporting creation of monthly student bills, processing refund check requests, and coordinating monthly National Student Clearinghouse enrollment reports

Associates degree and three to five years of related experience.
