The Student Health and Well-being (SHW) cluster of the Health System plays a leadership role in creating a strong and active wellness culture at UC San Diego that enables all students to flourish in body, mind and spirit. This includes promotion and the expansion/development of a student health and well-being center, and the transformation of existing departments under the oversight of the Executive Director into a cohesive, trans-disciplinary source of integrated wellness services. The SHW cluster includes the departments of Counseling and Psychological Services (CAPS), Student Health Services (SHS) and Health Promotion Services (HPS).
Under direction of the Executive Director (ED), and work direction from the Department Business Officer (DBO), serve as principal liaison between the ED and DBO, staff, students, other UCSD departments, counterparts at all UCs and UC Office of the President, state and federal government agencies, other universities and academic institutions, professional societies and organizations and the general public.
This position will provide professional and executive level assistance and consultative advice to the ED, Director of Medical Services (DMS) and DBO. Oversee the day-to-day and long range activities of the ED. Manage the ED's email, calendar, mail, requests and action items. Initiate assignment of action items to ED's senior staff and direct reports; conduct independent research and complex analysis of information, providing recommendations to the ED, senior administrators and management team.
Track action items and ensure completion. Confidentially and diplomatically handle highly sensitive matters in which the ED is routinely involved. Determine and locate sources for collecting information; independently collect data, analyze and compile factually correct information, and summarize reports of administrators, external agencies and committees for the ED.
Independently research and author agendas, minutes, reports, audio-visual presentations and official correspondence for the ED, DMS and DBO. Responsible for the administration, management and development of a variety of new and ongoing programs in support of the administrative, business and clinical operations of SHW. Act as primary resource for program information, dissemination and coordination. Provide financial management in support of departmental business operations.
A Bachelor's Degree in related area; and/or equivalent experience/training.
Three (3+) or more years of experience supporting and executive and/or team; or other relevant experience.
Strong skills to communicate effectively with all levels of staff, faculty, alumni/donors, students and external constituencies, both verbally and in writing.
Thorough knowledge of common organization-specific and other computer application programs. Working knowledge and experience with Microsoft Word, Excel, PowerPoint, Outlook.
Demonstrated knowledge of federal regulations such as FERPA. Knowledge of HIPAA requirements.
Excellent organizational and time management skills; ability to determine workload priorities; independently manage projects.
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.

Must complete initial mandatory health requirements, and current clear TB test results and flu vaccination. In the absence of immunization records, titer test or blood test will be required to determine if other immunizations are needed.
TB screening and flu vaccination are required annually.
Must be able to work various hours and locations based on business needs, such as evenings and weekends. Occasional travel may be required.
Must have valid a CA driver's license. Must have access to reliable transportation to travel to off-site meetings and events.
