A new USC Viterbi K-12 STEM Center is being created out of two formerly separate divisions of K-12 STEM education outreach at USCâs Viterbi School of Engineering. The Centerâs mission is to inspire, inform, and impact underrepresented, underserved, and disadvantaged K-12 students to develop STEM identity and to increase lifelong participation in STEM by providing community-oriented and research-based educational opportunities.
Of particular importance is adding to our team an Associate Research Administrator who is committed to supporting this mission by playing a proactive role in managing the financial and contractual foundations of the Centerâs research-driven outreach. This position will provide essential forecasting, compliance, and operational tasks covering a wide and interesting range of financial needs for over two dozen programs offered free of charge to schools, students, and teachers throughout Southern California. The core job duties are:
Monitor account activity and reconcile accounts (grants, gifts, programs, projects, etc.); forecast/project budgets; process, track, and post expenditures; initiate and manage a high volume of procurement orders, reimbursements, requisitions, vendor relationships, site logistics, student staff hires, payroll, etc.
Produce regular reports on monthly account statements with account summaries and projection reports, plus final reports on grants and/or gifts.
Lead the Center staff on compliance of USC and other institutional funding/spending guidelines, policies, restrictions, and deadlines.Â
Conduct forecasts/projections for proposals, awards, advancement, and operations. Â
Manage process of submission of proposals, managing timelines of multiple proposals and various deadlines.
Assist with department events (e.g. teacher trainings, student program support, open houses, etc.) to assure timely provision of all materials, equipment, and/or vendor relations plus occasionally helping at events.
General office and site management, ordering and organizing supplies, etc.
Preferred Education and Experience:
Bachelorâs degree with four years of account and budget experience, including knowledge of government and fund accounting as well as of university financial systems. Strong analytical and computer skills (esp. MS Office Suite). Excellent written and verbal communication skills; ability to prioritize, organize, analyze, and work independently in a fast-paced work environment.
