We are looking for a capable team administrator to support the Fitch Ratings office in Frankfurt along with two other administrators. You will be working in a fast paced, collaborative team culture and will be expected to have enthusiasm for the administration profession, and an interest in learning about the business and the financial services industry in general. Your responsibilities will include:
Providing general administrative support such as setting-up meetings, conference calls and video conferences; telephone coverage, distributions of mail, binding for presentations, scanning and pdf documents, etc.
Co-ordinating extensive travel arrangements, visa applications, and other relevant travel documentation for the team
Expense claim preparation and liaising with Accounts Dept. when required
Acting as a point of contact for analysts when they are travelling - managing their telephone calls and calendars.
Diary support for Senior Directors
Provide cover for other admins/PA within the office
Scheduling rating committees and assisting the committee chairperson, distributing rating committee papers
Covering reception duties and meeting external visitors when cover is needed.
Ability to maintain confidentiality and discretion where needed.
You will have extensive experience in a team administrative role, preferably with some experience in the financial industry. You have a positive and collaborative personality, willing to roll up your sleeves and "muck in". As support is provided to the teams as a whole not just one person, it involves managing a number of conflicting priorities and a calm manner as well as the ability to demonstrate initiative and flexibility to accommodate business needs, good common sense and a logical approach to work are essential for succeeding in this role.
To be considered for this role you must also be able to demonstrate the following:
Excellent computer literacy in MS Office packages, including Word, PowerPoint and Outlook, knowledge in SAP would be a benefit
High degree of proficiency in both spoken and written German and English; no other languages required but welcome
Close attention to detail and accuracy
Enthusiastic and energetic
Strong Team player
Excellent organisational and time management skills, the ability to prioritize own workload and to juggle a number of different tasks.
Ability to work autonomously with minimal supervision.
