Department: REGISTRARS OFFICE - 068050 Department Description: The Office of the University Registrar (OUR) provides leadership, planning, management, and implementation to support the teaching and research mission of the University through a diverse range of administrative, logistic, and record keeping services for students, faculty, staff, alumni, and former students. The OUR collaborates with all campus colleges, schools, departments and units to ensure the delivery of these critical institutional functions. This department is responsible for implementing and maintaining federal, state, and institutional regulations and policies for all enrollment related student and faculty functions.

Job Summary: Reporting directly to the Assistant Registrar, Enrollment & Records and under general supervision, this position is responsible for functioning as a campus expert regarding all aspects of enrollment/registration, records, and graduation. The Student Service Representative provides information to students, parents, the campus community and the general public regarding all academic policies, which involves analyzing the student's academic record in conjunction with University policy. This position effectively communicates in writing, in person, and over the phone with students/parents/faculty/staff; interprets and applies Academic Senate regulations; monitors, updates and ensures the integrity, accuracy, and security of student academic records; and upholds the privacy laws surrounding student academic records (FERPA & California Information Practices Act). The Student Service Representative must remain knowledgeable of all work processes, deadlines, and student information systems functionalities.
Responsibilities also include contributing effectively to the daily operation of Office of the University Registrar; including the AggieCard Office, the Office of the University Registrar front counter, and the Call Center. This position requires the management of heavy service traffic, frequent interruptions, and multiple and coinciding deadlines.
Physical Demands: Work at a computer station for long periods of time.
Work Environment: Work in an office environment with heavy traffic, frequent interruptions.
Requires signing a confidentiality statement regarding student records.
Work occasional evenings, overtime, and some restricted vacation times to meet operational needs.
Work hours Monday - Friday, 8 am - 5 pm, no flexible work schedules during 6 month probation period.
Business attire required to represent the professional nature of the University and the Office of the University Registrar.
The position is a mandatory reporter for known or suspected child abuse and requires that a statement acknowledging the requirement to report child abuse to be signed.

Minimum Qualifications: Experience applying policies in an education environment, including experience providing advice, ramifications, and guidance on all academic outcomes.
Experience of a complex relational database and electronic document systems
Skills working effectively with multiple diverse constituencies
Strong Interpersonal skills to to communicate precise information to students and staff regarding complex policies and and university rules in relation to: governing academic records, student registration, and record and policies and procedure
Experience and computer skills to work across a multi-platform environment including databases, spreadsheets, presentation software, word processing, email, and web browsers.
Experience working with confidential information; to adhere to federal and state laws as they apply to student records including the Family Educational Rights and Privacy Act of 1974, California Information Practices Act, and campus procedure implementing the University of California policies applying to the disclosure of information from student records.
Preferred Qualifications: -Experience working in a higher education environment.
-Experience using and knowledge of Banner.
-Extensive knowledge of the functions of a Registrar's office and the handling of student and enrollment records, with an understanding of how student information systems underlie business processes.
-Knowledge of and experience with degree audit and content management systems.
