The Assistant Director for Board Administration reports directly to the Director of Administration and Planning and Associate Secretary to the Board of Trustees and is responsible for advancing the work of the Board of Trustees through data management, content delivery, and clear communication. This position utilizes software platforms to organize and present information to inform decision-making. This position requires exceptional communication and project management skills to execute important functions pertaining to the work of the Board of Trustees and to communicate with key stakeholders throughout the University, including Trustees, University Senior Leadership, and faculty.
Manage the design, content development, and access to the secure Board of Trustees SharePoint website.
Lead the creation and distribution of Qualtrics attendance surveys to the Board of Trustees and University Senior Leadership; communicate attendance to stakeholders in an effort to maximize engagement; following Board meetings, ensure attendance is recorded to reflect accurate Trustee participation.
Support the development of quarterly Board meeting materials; work with units across campus to frame material content; format materials to satisfy University brand style guidelines; compile and present to the Board of Trustees in a user friendly manner.
Manage the production, assembly, and timely distribution of Full Board and committee materials, taking into consideration delivery requests by Trustees; establish delivery priorities based on Trustee location and committee involvement.
Utilize data collected throughout the academic year to produce reports to support the work of the Governance and Nominations Committee of the Board.
Lead the creation and distribution of annual Trustee surveys for the Board of Trustees; analyze large amounts of information and distill for executive audiences through reports that highlight key takeaways.
Manage the creation and implementation of TurningPoint interactive polling software surveys immediately following each Board of Trustees meeting; produce post meeting reports to communicate the results.
Partner with University Relations to create the annual Trustee directory for distribution to the Board of Trustees and University Senior Leadership; utilize data collected to update the Board of Trustees SharePoint website and communicate changes to appropriate stakeholders.
Represent the University and the Office of Administration and Planning at Board of Trustees events; support the execution of Board meetings and events.
Take notes and produce digest reports and/or minutes for lunch meetings, breakout sessions, and committee meetings, as needed.
Respond to ad hoc requests as they relate to the Board of Trustees and other departments of the University.
Successful completion of a full four-year course of study in an accredited college or university leading to a bachelor’s or higher degree.
4 years progressive professional experience, preferably in an academic institution
Knowledge and experience of evaluation and assessment.
Knowledge and experience with higher education; experience at Northwestern a plus.
Prior experience managing projects, facilitating cross-functional teams, and/or leading business consulting
Master’s degree in management, public policy, higher education, or related field; or the equivalent combination of education, training and experience from which comparable skills can be acquired
