The Registrar Specialist & SEVIS Officer serves as one of the key officers of the University Registrar Office responsible for maintaining the university records, degree awarding, student record verification and maintenance of the student database system. Additionally, he/she is responsible for all SEVIS compliance for international student enrollment. As such the position holder will be in direct contact with students and their family, school counselors and advisors, faculty and administration and other individuals or organizations working with the office. This position is responsible for supporting all registration events at both on- and off-campus events. The position holder is responsible for data integrity of the Student Database System and federal compliance database.
In this role, the Registrar Specialist & SEVIS Officer will support the coordination, development, and implementation of all registrar services under the direction of the Registrar. The Specialist is responsible for the academic records system maintenance and training. Track international student information, status events, produce government forms, electronically report federally mandated data to the US government, receives status adjudication information and decisions regarding DHS compliance and student status
Work for approval of Homeland Security and achieve approval to be the university primary SEVIS officer.
The Specialist will communicate and work with prospective and current students, primarily by in-person appointments, telephone, email, and video/virtual chat on the registration process at Georgian Court University.
Manage student academic records through utilization of the Student Information System (Powercampus), Customer retention management system (SLATE), and federal database of awarding international student Visa.
Assist degree awarding and audits for the successful graduation of candidates.
Work with IT to test new software releases and train students, staff and faculty as appropriate on data access and usage of Powercampus.
Participate in Curriculum meetings to address curricular question in relation to degree awarding and system limitations.
Coordinate and attend on-campus and off-campus registration events.
Preparing, maintaining, and distributing a series of activity reports designed to keep key Georgian Court University personnel up-to-date on the status of registrations based on student type.
Understanding, applying, maintaining and ensuring all student information is accurate and complete and in compliance with mandatory University, state and federal policies regarding data and the recruitment and admission of students, such as FERPA, ADA and more.
Maintaining knowledge of university curriculum, rules, regulations, and guidelines applicable to students.
Representing the office on a variety of University committees.
Integrating the core values of respect, compassion, integrity, justice and service in all aspects of interaction.
Other duties as assigned.
The minimum qualifications for this position are:
Bachelor's degree from an accredited college or university
1+ years of experience
Valid driver's license from State of residency.
Ability and willingness to travel locally and in state. Availability and willingness to work evenings and weekend hours.
Proficiency using Microsoft Office, especially Excel, Access, and other database and spreadsheet applications.
Ability to read and comprehend technical manuals
Excellent listening, communication, interpersonal and relationship-building skills with the ability to communicate clearly in person and writing.
The preferred but not required qualifications for this position are:
Experience with PowerCampus or Ellucian Systems
Experience using student information systems, customer relationship management (CRM) systems and communication technologies
