This position is responsible for all insurance related services offered through the Office of International Affairs, the campus travel registry, and international travel approval processing.
Insurance services -
Student / scholar health insurance
Understand university health insurance policy and be able to educate the campus community on the university's health insurance plan, how health care and health insurance in the United States works, campus and community resources, etc. This includes but is not limited to one-on-one meetings to explain insurance benefits, organizing and presenting at information sessions, maintaining web pages, creating and distributing flyers, etc.
Enroll international students, scholars, and dependents in health insurance plan - manual and batch enrollment; process waiver requests following campus policies; coordinate with Cashier's Office for charges to student account
Advise students and scholars on health insurance requirements for maintaining immigration status
Track enrollment for J visa exchange visitors including providing notices when enrollment is ending and follow up as needed
Verify accuracy of health insurance invoices, track payments and fees, and reconcile against student records; work with department finance staff member to process payments and fees
Resolve problems including explaining policy benefits, answering questions, resolving billing issues, checking on claims, charges on student accounts, etc.
Work closely with Student Health Services on student issues, sharing resources, etc.
Assist with crises such as serious injury or death
Attend annual meeting of UM office representatives and insurance professionals and follow-up meetings with Risk Management; provide feedback as needed.
Travel and health insurance
Understand university policies and be able to educate the campus community on insurance resources available, the enrollment process, coverages provided, requirements, and best practices
Enroll students, faculty, or staff members who travel internationally on behalf of the university
Track enrollment, verify accuracy of invoices, and reconcile payments.
Assist with crises including coordinating services with insurance providers, health care providers, travelers, etc.
Resolve problems related to enrollment, billing, claims, etc.
Travel and risk management -
Travel risk approval
Educate the campus community on travel approval requirements and processes
Process travel risk approval requests including verifying all necessary information has been provided, reviewing travel advisories and health notices, completing forms, preparing documents for higher level review, tracking requests, follow up as necessary, and communicating decision to traveler(s)
Educate the campus community on travel registry requirements and processes
Assist users with questions or problems regarding the travel registry
Maintain the travel registry in Terra Dotta software
Update and maintain processes, forms, web pages, flyers, etc. related to the travel registry.
Verify accuracy of invoices, track payments, bill departments, and reconcile against travel registry records
Pre-departure orientation / Travel Information
Create, update, and present in-person pre-departure orientations for students, faculty, staff, and others traveling on a university related international trip.
Create and maintain an online pre-departure orientation
Provide safety and travel information to university travelers
Keep current on policies, processes, best practices, events, updates, etc. related to areas of responsibility
Be proactive in developing or sharing resources for the campus community
Greet and assist visitors to the office and department
Provide backup to other office areas
Track information and provide reports
Maintain information on web pages related to duties
Participate in department and campus programming including Celebration of Nations, new international student orientation, etc.
Other duties as assigned
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge, skills, and abilities can be acquired is necessary
Experience with health insurance billing, claims, and/or enrollment.
International travel and/or living experience
International student immigration advising experience
Experience with Microsoft Office
Excellent interpersonal, communication and teamwork skills.
Must be able to interact with international students and scholars in a fast-paced environment.
