This position is within the University of Minnesota’s Institute for Translational Research in Children’s Mental Health, specifically working in support of the ADAPT (After Deployment: Adaptive Parenting Tools) studies supporting research efforts in Minnesota and at three out of state study locations. This position assists the Assistant Project Manager for the ADAPT studies, primarily performing basic office and administrative tasks and other supporting duties as needed to support the series of ADAPT studies that are at various stages.
Assessment Scheduling and Preparation (50%)
Maintains ADAPT4U assessment scheduling and assessment technicians calendars
Assist Assistant Project Manager with tracking and ensuring completion of mandatory training for assessment technicians and child care staff
Reviews mileage reimbursement forms for accuracy before sending on for approval by ADAPT Assistant Project Manager
Keeps mileage tracker and overall assessment cost spreadsheets up to date
Makes contact with participating families via phone or email for assessment scheduling.
Copies and assembles assessment packets and gathers other materials for in-home assessments.
Tracks supply usage for assessments, including equipment status and reports any needs to ADAPT Assistant Project Manager.
Uploads assessment data to the network after assessments are complete and reviewed by Assistant Project Manager.
Maintains assessment data tracking documents according to established study protocols.
Uses secure portal for SMART study to build assessment cases and manage personnel access
Ensure FITS are uploaded and tracked appropriately for SMART study
Uses secure portal to build intervention cases and sessions and manage personnel access
Ensure intervention videos are uploaded and tracked appropriately
Tracks and enters study participant evaluations and attendance
Supports study staff with the completion of other intervention tasks as needed
Teacher Contact and Follow-up (15%)
Confirms parent consent for teacher contact
Confirms teacher consent received
Sends emails to teachers with Qualtrics survey link
Follow-up with teachers via email, phone calls or by mail when surveys are not completed
Processes teacher compensation and send thank you emails and/or letters
Maintains and documents notes on excel spreadsheet
Study Enrollment (10%)
Emails individuals with incomplete screeners
Emails or mails study engagement materials
Checks study email account and forwards emails for action by other study personnel
High school diploma/GED and one year of office/clerical experience. Training/education may substitute for some of the experience.
Experience with Microsoft Office, email, database systems and customer service experience
Excellent communication and organizational skills
Previous experience working independently and as a team member
Experience working on research studies
Experience with working with military families
Experience collecting data over the phone
