Organize and coordinate office procedures in order to ensure organizational effectiveness and accountability while maintaining excellent customer service.
Develop and implement organizational procedures for office personnel
Maintain effective internal and external relationships to accomplish cooperative goals and utilize available resources
Oversee clerical day to day operations at the main office and the four outer offices
Manage call center activities and set standards of excellence for call center personnel
Coaching, monitoring, disciplining and appraising employees and staff to ensure top performance
Knowledgeable of the clerical unit agreement in conjunction with the union contract
Handle complaints and inquires, seek legal counsel if needed
Compile and maintain department budget and provide authorizations for invoice payments
Attend training sessions, conferences and seminars to remain abreast of policies and/or procedures related to the department
Prepare monthly reports for the Board of Directors
Responsible for interviewing and hiring office personnel
Performs other duties as required
Education – A Bachelor’s degree is required.
Experience – Five years’ experience in general office environment with supervisory and management experience.
Job Knowledge – Must have the ability to understand the generally-accepted accounting principles, including a working knowledge of the accounting processes and reporting. Knowledge of office management practices, policies and procedures.
Abilities and Skills – Must have working knowledge of office environment. Must be proficient with the use of computers and software related to the position. Verbal and written communication skills are required both within and outside the organization. Excellent customer service skills and phone manner is required. Attention to detail and a high level of accuracy is required. Ability to develop and implement goals for the department in order to promote effectiveness and efficiency.
Contact with members, suppliers and colleagues including Government, State, and Local agencies and private groups.
Must have working knowledge of all office procedures and policies related to consumer accounts or knowledge of like procedures in similar office environment.
ABILITIES AND SKILLS:
Must have the ability to analyze information and make decisions based on current regulations or policies. Must have the ability to perform arithmetic operations quickly and efficiently. Must be able to communicate effectively both verbally and in writing. Must be able to manage and supervise people.
Inside office environment with regular office hours with extended hours when necessary.
