Budget Title: Senior Staff Assistant (SL-3)
Salary: $62,000 - $65,000
The President's office seeks a Director of Commencement and Special Events. This individual works with the President's Office and the Provost's Office as well as other academic and operations departments across campus to create a comprehensive Commencement experience for students and faculty as well as parents and University guests that reflects positively on the University and its mission.
The position requires a well-rounded individual with experience working with multiple and varied constituencies on and off campus in a professional manner and under heavy deadline pressure. Candidates must have demonstrated experience organizing and executing medium-to large-scale events, be proficient in writing and editing formal as well as informal communications and be able to populate, manage and share interactive databases.
The director will develop and implement a communications plan that incorporates multiple platforms, print (limited), social media and other online outlets to promote awareness of the Commencement timeline of activities and information required by students, staff, faculty, parents, and guests in order to prepare everyone for Commencement weekend.
This individual handles logistical planning for a minimum of nine Commencement ceremonies and must:
Provide guidance and guidelines on ceremony protocol to academic departments and all schools
Be able to write and edit content for the Commencement program and all Commencement scripts and related materials
Coordinate and oversee planning for the platform party
Manage and monitor the Commencement budget, which includes budget planning, coordination of services, hiring of external vendors and payments for those services as well chargeback payments to internal departments
Liaison with all individuals and departments on campus that provide technical support for the ceremonies
Continually work to implement new technologies that aim to improve the Commencement ceremonies
Directly as well as through the supervision of student interns and University staff, respond to all Commencement questions submitted via voicemail and email from students, parents, faculty, staff and guests
Be knowledgeable of Omni Update and continually update and manage the Commencement website
Help coordinate and staff Grad Fest
Provide planning and logistical support for other University-wide and President's Office-specific events such as the Chancellor's Excellence Awards Dinner, Employee Appreciation Picnic and service and retiree recognition events, to name a few
The position requires a creative, motivated individual with the ability to manage an extraordinary amount of information and who has management, communication and technical skills as well as the leadership qualities necessary to coordinate a large number of events, individuals and process.
Two years of related work experience
