The Strategic Enrollment Management department at The New School seeks a Project Manager (PM) to supervise and manage the implementation of a new customer relationship management system (CRM) – Slate Technolutions. The PM will report directly to the Assistant Vice President (AVP) of Enrollment and will collaborate closely with the university's IT department and other university stakeholders. To achieve the goals and objectives as determined by the AVP, the PM will be the lead in driving the project and implementation through the development of project management guidelines, project standards, project scope, risk identification, compliance, and mitigation, quality management, reporting and documentation. The PM will communicate, assess, and confirm that internal staff and contracted resources are utilized effectively to achieve seamless development, implementation and utilization of the CRM. The PM will review and recommend approval of project deliverables. Finally, the PM is responsible for reviewing and reporting on the project work plan to multiple audiences, overseeing detailed task management, monitoring activities of the services vendor and implementation team, timelines, and risks, and has overall responsibility for reporting on status of project activities, milestones, and deliverables. This is a limited term project with a12-24 month appointment.
Responsibilities: ●Plays key role in the implementation of Slate Technolutions, including process mapping, administrative, technical and transition planning, with option to assist with setup when necessary. ●Leads expertise training, testing and decommissioning of old CRM products. ●Collaborates with key SEM colleagues, The New School's Information Technology and other stakeholders to ensure a proper implementation strategy. ●Leads weekly meetings including documenting action items, assigning a priority ranking, and identifying exceptions and/or items needing further decisions. Provides weekly status reports and high level project status to IT PMO. ●Creates and maintains project documentation including but not limited to: implementation plans, schedules, work breakdown structure, task and activity planning, issues and risks, cost benefit analysis, steering and working committee agendas and follow up reports, and team communications and overall project reporting. ●Develops and implement change management strategies and processes. ●Resolves and manage critical and high-impact issues. ●Prepares business cases and recommends critical project direction and scope changes, options, and issue resolution to the governance group. ●Provides post-production support to maintain sustainability of system and operations, implement new functionality, and change business processes to support statutory changes and other changes requested by process owners. ●Conducts regular internal project reviews with the Project Team. ●Follow-up on action items from meetings and document decisions and outcomes. ●Ensures that the development timetable, budget, Statement of Work (SOW) are kept up to date, reflects any variances or exceptions are documented and resolved. ●Facilitates calls between implementer, third party vendors and other internal partners as needed. ●Manages vendor(s) at all implementation levels. ●Schedules resources needed for QA and UAT testing and educate testers on process and logging accordingly. ●Tests vendor corrective actions taken or implemented for all documented exceptions in the QA testing above. ●Monitors and schedules resource utilization and maximization.
Minimum Qualifications ●Bachelor's degree. ●Demonstrated knowledge CRM Implementations and best practices. Experience with using a CRM, ERP and/or CMS. ●Experience working with relational databases and demonstrated aptitude for data analysis or data management; ability to define and analyze data requirements to support business processes and decision. ●Knowledge of current technologies and issues concerning admission and enrollment management in higher education. ●Ability to prioritize and handle multiple deadlines and projects. ●A strong track record of delivering projects on time, and on or under budget and with high quality. ●Successfully project managed large, complex CRM and/or student information systems deployments. ●Strong analytical, trouble-shooting/problem-solving and organizational skills. ●Excellent attention to detail and accuracy. ●Excellent verbal and written communication skills and ability and strong desire to communicate proactively with team members and stakeholders at all levels. ●Able to work independently and as a strong team leader.
Preferred Qualifications ●Project management certification ●Knowledge of change management strategies and implementation approaches. ●Familiar with principles and practices of quality assurance and risk management. ●Demonstrated vendor management experience. ●Effective and efficient process improvement skills. ●Proficient with tool sets used for project management.
