The Department of Emergency Medicine within the University of Washington's School of Medicine (SoM), has an outstanding opportunity for an Academic and Staff HR Coordinator to join our team. This role will operate as a member of a team supporting staff and faculty human resources activities and will collaborate to ensure smooth administrative office operations at the Harborview Medical Center offices.FACULTY AFFAIRS ADMINISTRATION - This position will work with the Manager of Program Operations on the oversight, direction, and implementation of all aspects of the faculty appointment, reappointment, and promotion process, in the Department. Specifically, the Program Operations Specialist will:Ensure faculty recruitments comply with University, State, and Federal hiring practices.Support departmental faculty recruitment process; support and coordinate the process from search through final hire and relocation of successful candidates; ensure adherence to policies and procedures governing the university.Act as an advisor, providing guidance to search committees and administrative staff regarding procedures and documentation requirements, ensure requirements are met and information transmitted is accurate. Under the direction of the Manager of Program Operations, manage the faculty appointment process, and support the promotion process.Receive and review proposals and prepare them for distribution; correspond with faculty candidates; ensure compliance with various University deadlines, create faculty votes, send and tally, and prepare correspondence in justification of all personnel actions (promotions, appointments); ensure information transmitted is accurate and complete.Draft confidential appointment correspondence and official records on behalf of Manager, Director, and Chair to ensure faculty code and university regulations are met.These actions are critical to the career paths of departmental faculty, and could result in loss of a faculty appointment, in the case of mandatory promotions, reappointments and other academic personnel actions, per the Faculty Code. Manage the annual reappointment processes for all Acting, Clinical, and Adjunct appointments, including the clinical courtesy faculty in the WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho); manage the 3-year reappointment process for Assistant Professors.Coordinate the faculty review process. Receive and review proposals and prepare them for distribution; conduct surveys and solicit evaluation materials on an ongoing basis. Create and populate faculty portfolios. Ensure the review process meets Faculty Code requirements.Using discretion and independent judgment, assesses current processes and independently determines necessary process revisions and improvements as circumstances warrant. Develop and implements process revisions to ensure operational best practices. STAFF HUMAN RESOURCES SUPPORT - This position will work with the Department Director and Manager of Program Operations to manage staff human resources. Specifically, the Program Operations Specialist will:Have responsibility for staff recruitment, onboarding, and performance management, including job performance counseling and other employee relations issues.Initiate, track and monitor all Workday functions related to staffing actions (hiring, transfers, exits, compensation changes, etc.).Assist with the performance review process for staff, including managing communications to managers, facilitation of documentation, and development of appropriate supporting records.Oversee the development of all position descriptions, including revisions and updates that align with department, school and university best practices.Support management with all aspects of the recruitment process for professional, classified, hourly staff and student positions ranging from job description development to final hire.Continuously improve and deliver the New Hire Orientation presentation materials; ensure content is relevant, dynamic and comprehensive. Participate in developing and delivering other HR related trainings.Coordinate with internal stakeholders to ensure that exiting of each employee is timely and complete on employees last day.Ensure all human resource programs and policies are compliant with appropriate, UW, federal, state and local regulations.Maintain confidential personnel records and execute scanning policies.DEPARTMENTAL ADMINISTRATIVE SUPPORT - This position will also manage and oversee the following departmental functions:Schedule and prepare agenda for staff and faculty meetings related to HR matters. Organize other events and conferences as necessary.Independently resolve complex administrative problems and answer questions relating to established policies and procedures. Serve as a resource for the faculty, staff, students and guests. Provide administrative operations support to the Department of Emergency Medicine; comprised of 4 administrative office spaces across Harborview Medical Center and the University of Washington Medical Center.
