Northwestern's Office of Administration and Planning is seeking a motivated and detail-oriented executive assistant to support the Vice President of Administration and Planning, and manage the operations of the Office and its functional areas: Board of Trustees Affairs, Institutional Research, Program Review, and Strategic Planning. The ideal candidate for this position is an effective oral and written communicator, is savvy across various technological platforms, and thrives in a fast-paced environment managing multiple ongoing tasks and projects. The position requires a high degree of independent judgment and discretion for detailed support of the Vice President, University Trustees, Senior Administrators of the University, and the advancement of institutional priorities. A candidate with a desire to contribute to the mission of higher education, and to participate in the administrative structures and governance operations at a top-tier research institution will find this position to be an engaging match.
The Executive Assistant (EA) provides high-level administrative support to the Vice President of Administration and Planning and the Office of Administration and Planning. The role serves the Vice President, central operational functions of the Office, and the functional areas and their leaders:
Board of Trustees Office
Under the limited direction of the Senior Program Administrator for Administration and Planning, the EA coordinates and executes essential functions including but not limited to support to the Vice President, financial processing and reporting, logistical coordination, meeting scheduling, data processing, special event preparation and support, and general communications. In all responsibilities, the EA professionally and efficiently interfaces with various internal and external stakeholders to the University, representing the Vice President, the Office, and the institution.
Bachelor's degree or the equivalent combination of education, training and experience from which comparable knowledge and skills can be acquired.
Four or more years of executive administrative support experience, with prior experience in support of a senior leader in a similar role, or equivalent experience.
Demonstrated advanced proficiency with the Microsoft Office Suite of products.
Demonstrated excellent oral and written communication skills.
Ability to demonstrate a calm, courteous and professional demeanor under pressure when working with a variety of situations and/or people.
Ability to accomplish a high volume of tasks with both efficiency and accuracy.
Proven ability to take initiative and make sound decisions without direction.
Ability to lift up to 25 pounds and maneuver up to 45 pounds, transporting boxes and materials on a regular basis.
Preferred Qualifications: (Education and experience)
Previous experience working in a University setting strongly preferred.
Familiarity with Northwestern systems (e.g. NU Financials) strongly preferred.
Experience working with Qualtrics, Adobe Illustrator and InDesign.
