General Statement of Duties: The Clerk IV is responsible for front-line customer service functions, including answering phones and greeting guests. The incumbent will provide general clerical assistance for the University Advancement staff, including scheduling meetings and events.
Responsibilities: (E) = Essential
1. (E) Responsible for exceptional front-line customer service; greeting guests, answering telephones, and responding to inquiries related to the departments according to established procedures. 2. (E) Prepares correspondence to include letters, memos, emails, schedules, and newsletters for the department. Proofreads typed materials for accuracy and completeness. 3. (E) Orders and maintains office supplies, keeping office well-stocked and organized. 4. (E) Performs data entry tasks to include updating alumni and donor information into Raiser's Edge, entering contact reports as well as creating and pulling data from databases for program reporting purposes. 5. (E) Assists with event and meeting planning, on and off-campus, including but not limited to: reserving rooms, ordering food, creating name tags, updating attendee lists and other relevant tasks. 6. Supervises work study students. 7. Updates departmental website and social media sites, as required. 8. Works occasional special events outside of normal work schedule (e.g Reunion, Annual Golf Tournament and Homecoming) 9. (E) Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students. 10. (E) Responsible for contributing to the WSU Strategic Plan. 11. 1. Must have at least (A) three years of full-time, or equivalent part-time, experience in office work (preferably in a higher education or non-profit setting), or (B) any equivalent combination of the required experience and the substitutions below.
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience*.
II. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.*
III. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*
IV. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*
V. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience.*
*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.

Ability to deal tactfully with others. 6. Skill in operating general office machines and equipment such as photocopiers, scanners, fax, and other copying machines.
1. Bachelor's degree 2. Minimum of 3 years of executive support experience in a higher education or non-profit setting, preferably in development or donor relations. 3. Excellent interpersonal and communication skills to effectively interact and work collaboratively with diverse populations of students, staff, faculty, administrators, alumni, donors and community members. 4. Strong Microsoft Office skills, including Word, Excel, and PowerPoint. 5. Savvy in Social Media platforms; html and graphic design experience a plus 6. Ability to handle multiple responsibilities and deadlines simultaneously. 7. Strong customer service skills. 8. Experience with Raiser's Edge Database
Salary: $1,563.48 (Bi-Weekly)
Shift: Monday-Friday 8:45am-5pm
Days off: Saturday-Sunday
