Position Summary: The Business Manager will manage the operations of the Institute of Data Science by handling the business activities and performing all administrative matters to ensure the goals and objectives of the institute are achieved. Monitor all aspects of the business operations including strategic planning, research, finance, HR, and marketing.
Essential Functions: o Administrative Management - Maintain the daily activities of the institute. Preside over the coordination of all administrative matters and effectively plan, oversee and delegate day-to-day activities. This includes the use of all university systems, including Banner, Chrome River, Highlander eMerchant, Anthony Travel, and Cornerstone. - Initiate and implement new strategic processes to bring visibility and awareness of the institute activities. - Develop and maintain relationships with industry constituencies. - Implement best practices to ensure effective sharing of information and transparency across the academic departments associated with the institute. Provide routine information to faculty, staff, students, and outside constituencies. Refers requests for information to the appropriate person. - Plan and schedule meetings, manage communications. Maintain the calendars of the directors. This includes distributing invitations, reserving rooms and equipment, and organizing and ordering food. - Oversee and coordinate the hiring processes. Assist in the creation of job descriptions, process Personnel Actions forms, Graduate Nomination Awards forms. - Maintain all payroll processes. - Create and design promotional materials. Develop documents for meetings and special events. - Act as administrative liaison to industry, government officials, colleges and administrative and academic departments, and other external entities. - Organize and accurately maintain filing system for projects. - Monitor and replenish the inventory of stationery, business cards and office supplies. Maintain inventory of copier supplies. - Manage the security of the building, laboratories, and centers of the Institute. - Arrange for the maintenance and repair of office equipment. - Process work orders for building maintenance. - Handle phone coverage. o Financial Management - Organize periodic meetings of the institute research staff for idea development/writing, develop timelines. - Establish account setup and support the financial management of the institue’s projects. Initiate and monitor the processing of progress reports, extensions and other financial reports. Manage award closeout. - Develop, analyze and present financial reports to directors. - Monitor and analyze budgets. - Initiate and develop metrics to analyze the financial performance of projects. - Manage all aspects of accounts payable including procurement, processing of requisitions for POs, and payment of invoices through Banner Self Service system. - Process personnel travel and expense reimbursements.
Prerequisite Qualifications: Bachelor's degree in business, science, engineering or related discipline. Five years of related experience. Effective communication and writing skills Proficiency in Microsoft Office Suite Ability to manage multiple tasks At the university's discretion, the education and experience prerequisites may be excepted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
