Serves as a vital member of the Veteran Business Outreach Center to provide skilled administrative support and routine administrative support including answering phones and routing calls, managing mail, maintaining files, coordinating events and travel, guest parking, room reservations, procurement, supporting consultant team and other general administrative duties as assigned.
Distributes program information and conducts program research. Initiates, develops and sustains strong positive relations with SBA Boots to Business (B2B) program coordinators and UTA department personnel to ensure achievement of the mission and goals of the Veterans Business Outreach Center and UTA College of Business. Maintains calendar of events and arranges schedules and meetings. Assists in preparing reports on the status of the program including state of development, proposals, budget variances, or other documents as required for the program. Assists in the coordination of events, including but not limited to, lectures, lectures series, workshops, meetings, and short courses. Acts as the unit liaison with other departments and with outside agencies including the SBA, SBDC, SCORE, PTAC, local EDCs, and other entrepreneurial resource partners including event caterers. Greets visitors and communicates with clients, employees, and other individuals to answer questions, disseminate and/or explain information. Assists in the creation and distribution of program materials, event flyers, forms, and general correspondence. May assist in providing program specific training. Proficient in the use of Microsoft Office, including Outlook, Word, Excel, and Publisher. Experience working with MyMav (PeopleSoft), SharePoint, UTShare, UT Flow, (UT Arlington's data management/accounting) and HRMS (UT Arlington's Human resource Management System). Takes and transcribes dictation, including materials of a technical, and or, confidential nature. Prepares agenda for meetings, schedules meetings, records and distributes minutes of meetings. Handles travel arrangements for supervisor and other office personnel. Responsible for all routine administrative functions and correspondence. Types letters, memos, reports, requisitions and other material from rough drafts or notes from superior. Orders supplies and arranges for repair of equipment. Organizes and maintain records and filing systems. Assist in the preparation of budgets, grant requests and other periodic reports. Acts as a receptionist; Screens visitors and telephone calls; Makes appointments. Maintains a wide variety of fiscal, personnel and administrative records and files consisting of confidential and official matters. Responds to inquiries and interprets rules, regulations, policies, and procedures. Publishes and maintains department website, newsletter and other communication resources, including social media channels. Work hours other than 9-5 may be required. Performs other duties as assigned.
Bachelor’s degree. Two (2) years upper level secretarial experience with six (6) years of increasingly responsible administrative, secretarial and clerical or the equivalent experience.
Bachelor’s Degree or equivalent. Knowledge of the use of personal computer, word processing, spreadsheet, and database software, presentation software and equipment. Standard office machines. Proficiency in the use of English, business math, reading and writing skills. Must have excellent customer service, interpersonal, organizational, and verbal skills.US military veteran (Preferred OEF/OIF/OND) Preferred UTA administrative experience with knowledge of UTShare Familiarity with or knowledge of the small business startup process Financial Services, Banking, or Accounting background is a plus
