The Executive Assistant is responsible for providing support for the association’s President, CEO, and the National Governing Board (NGB). The Executive Assistant is also responsible for managing and supporting governance programs such as the nominations/leadership development, governance, bylaws, and awards committees. Additional responsibilities include duties associated with building operations.
Coordinate logistics and prep materials (chapter officer and demographic information) for CEO and national officer visits to chapters and other association meetings (hotel, airline, car rental, reviewing NGB member expense reports, etc.)
Serve as staff liaison to the NGB, by preparing and distributing all NGB communications including (but not limited to) Board meeting materials and logistics information, attending meetings, taking minutes
Serve as staff Liaison to: Awards, Bylaws & Procedures, Governance, Leadership Development Committees
Coordinate (annually) national board and committee membership with staff liaisons and manages committee rosters in iMIS database
Organize and maintain National Bylaws and Policies and Procedures on AGA’s website
Provide support during National educational/training events, as requested (this may include some out of state travel)
Coordinate all aspects of five NGB meetings annually including agenda, decision memorandums, materials, and meals (working with Meetings and Events staff where appropriate)
Prepare meeting agendas, coordinating with CEO, COO, Directors and other committee liaisons
Work with CEO and others as required to identify additional materials to be provided to NGB
Coordinate annual NGB New Member Orientation
Manage all aspects of national awards and scholarship programs including but not limited to preparing requests for nominations, collecting nominations, coordinating Awards Committee conference calls for awards selection, preparing and sending notification emails, ordering all awards, coordinating on-site logistics at events for award presentations
Manage nominations process and governance programs (i.e., NGB evaluation, leadership surveys, bylaws proposals, voting logistics, governance reviews, etc)
General Office Support
Administers maintenance contracts on all equipment (copiers, water coolers, postage machine, coffee service)
Administers services associated with building operations
Schedules regular building maintenance (HVAC, Fire and Burglar Alarm, phone, janitorial, shredding, pest control)
Contacts professionals for repairs and maintenance as needed for the general upkeep of our owned building (electrical, plumbing, painting)
Serves as backup to the Programs Coordinator if he/she is unable to provide lunch coverage for the Membership Assistant (incoming phone line and front desk duties including UPS/FedEx deliveries)
3+ years of administrative experience in a business office environment, with least two years of experience supporting a senior executive
Must possess high levels of verbal, written, and interpersonal communications skills
Must be collaborative, well organized and detail oriented
Proficiency in Microsoft Word, Excel, PowerPoint
College degree. B.S or B.A degree in a business-related field of study required
Prior work experience with an association is desirable, but not required.
