The Human Resources Generalist 1 in the College of Pharmacy HR Department supports the delivery of human resource services with specific responsibility for providing recruiting, employee relations, classification, compensation and performance management support to the Center for Drug Design, College of Pharmacy Residency Program and graduate students. This position is also responsible for maintaining personnel records for the College, serving as a communication liaison for the HR Department (in person, e-mail, and web content), and completing assigned projects and tasks as directed by the Human Resources Director/Chief of Staff. Principal Duties and Responsibilities: Employee Relations/Recruitment/Selection for assigned units (35%): - Consult, advise, coach, and direct supervisors on HR policies, procedures, and practices regarding employee and labor relations that govern each employee group, in coordination with HR Director.
- Partner with various units (Office of Human Resources, Office of the General Counsel, Office of Equity and Diversity, Disability Resources, Office of Academic and Clinical Affairs) throughout the University to ensure best practices.
- Maintain knowledge and ensure compliance with State and Federal employment laws, as well as official University policies and employment contracts.
- Work with HR Director/Chief of Staff on the daily administration of HR services including recommendation of staff and P&A promotions, transfers, HR policy/procedures, and employee development opportunities.
- Provide individual mentoring and coaching of managers on opportunities to engage their workforce.
- Manage staff leaves including; FMLA, parental, vacation, and sick leave usage in accordance with University and Federal regulations.
- Recommend effective recruitment strategies that will help meet department objectives for hard to fill and under-represented positions; screen, interview, and refer candidates for staff, research and research support positions.
- Post vacancies in the University’s employment system and monitor applicant pools to ensure diverse pools are included throughout the whole search process.
- Research and prepare salary analysis for job offers, draft employment letters (when appropriate), and manage new employee orientation and on-boarding process.
- Provide overall direction and consultation regarding immigration and visa regulations and how they relate to employment policies and practices; problem-solve with supervisors on visa-related employment issues.
HRMS/Payroll (25%): - Entry and maintenance of graduate student and Resident appointments into PeopleSoft.
- Create and maintain various databases and HR/payroll filing systems, which include recordkeeping functions to ensure compliance with applicable State/Federal laws and the University’s record retention schedule.
- Provide backup support for HRIS entry and position management.
Compensation and Classification for assigned units (10%): - Advise and consult with hiring authorities and employees on initial classification of positions, job reclassifications and changes to job descriptions.
- Research and prepare salary analysis for job offers, promotions, in-range adjustments, augmentations and demotions, in consultation with HR Director/Chief of Chief of Staff.
Performance Management (10%): - Consult and coach supervisors and employees regarding issues related to performance management and performance reviews for assigned units
- Consult with HR Director/Chief of Staff regarding a variety of complex, sensitive and confidential performance scenarios.
Special Projects, Reporting, and Communications (10%): - Create, maintain, and update HR webpages/web content development; including HR policy/procedures, HR assignments/contacts, HR directories, etc. on the College's website and intranet.
- Serve as coordinator and resource for collegiate HR events such as the annual employee recognition event and various training events and focus groups.
- Coordinate, lead, and track special projects such as employee handbook, employee off-boarding process, ImageNow, etc.
- Prepare a variety of reports and documents (e.g. accreditation reports, compact, and surveys).
- Respond to incoming emails in College of Pharmacy’s main email account.
Other Duties as assigned (10%): - Provide back up support for Chrome River, expense reimbursement, and purchasing cards for HR departmental staff.
- Schedule HR staff meetings and provide backup support for the other HR Generalists.
- Collaborate with department staff on search processes and logistics.
- Oversee student employees.
