The program coordinator in this position will plan, support, and execute programs for LAPOP, a survey research institute at Vanderbilt University. Program support will include, but is not limited to, providing technical support to LAPOP affiliates; creation and execution of media releases and brochures; event planning and logistics; budget assistance; grant award creation and maintenance assistance.
LAPOP is an active social science research laboratory at Vanderbilt, located within the political science department. The lab's mission is to produce high quality public opinion data, develop and implement cutting-edge survey methods, build capacity in survey research and analysis, and generate and disseminate policy-relevant research. The lab's activities are supported by numerous grants and implemented via a large network of partners across the Americas. The lab has a staff size of 8-10, and also includes about a dozen undergraduate student research assistants, several graduate student research assistants, and several post-doctoral positions.
Duties and Responsibilities
Provide technical support to investigators (faculty), collaborators (faculty, staff and government employees) and staff of research laboratory
Assess survey findings and ensure that presentation of survey findings is in line with their presentation in laboratory reports
Train administrative assistant level positions
Responsible for assisting with drafting of media/press releases, project reports, project brochure
Responsible for communicating with network of partners regarding event development and implementation
Responsible for updating project website
Develop plans and logistics for project events
Manage invoicing and reimbursements for events
Coordinate arrangements for visiting scholars
Work with Program Manager to develop and manage complex, multifaceted project budgets and grants
Work closely with Vanderbilt post award office in conjunction with the Program Manager, to ensure compliance with sponsor and university rules and regulations
Work with Program Manager to process effort reporting on grants and monitor expenditures
Work with Program Manager to reconcile project finances (cost transfers, closeouts)
Work with Program Manager to assess project budgets and conduct budget forecasting
Work with Program Manager to process and manage agreements, and relevant invoicing in compliance with Vanderbilt policies and procedures
Correspond with (primarily internationally based) consultants and subawardees to obtain required documentation
Assist with development of consultant and subawardee scopes of work and budgets
Professionally and pro-actively track paperwork processing with Vanderbilt offices
Track deliverables and obtain required approvals for payment of invoices
This position may supervise an administrative assistant and will oversee undergraduate and graduate payroll and effort reporting; this position reports to the Director of LAPOP.
Profile of an Ideal Candidate
A Bachelor's degree from an accredited institution of higher education is required.
Specialized training or on the job experience in project coordination (necessary).
Proven ability to work independently and in teams (necessary).
Excellent communication skills - both written and verbal (necessary).
Capacity to manage budgets and financial transactions (necessary).
Knowledge of Microsoft Excel (necessary).
Ability to problem-solve, manage multiple complex tasks effectively, and meet deadlines (necessary).
Spanish language skills are preferred, but not required (preferred).
