Department Description The department of Health Sciences Development & Alumni Relations (HSDA) is responsible for securing private philanthropic support for UC Davis Health's research, teaching, clinical, and service missions. The department advises and supports UC Davis Health's leadership, faculty, staff, prospects, and donors on all aspect of philanthropy. THIS IS NOT AN H1- B OPPORTUNITY ResponsibilitiesThe Administrative Assistant III provides administrative support to the Chief Administrative Officer (CAO), providing department support for the operations and administrative unit as needed, including time reporting, supply ordering and monitoring, purchase orders, letter proofing, gift processing and mail receipt. Additionally, the Administrative Assistant III interacts with individuals at various levels both inside and outside the university and must maintain the highest level of sensitivity and confidentiality relating to donor and personnel matters.Required Qualifications
Demonstrated interpersonal and oral skills with the ability to interact in a positive manner with a diverse and demanding clientele, including prospective employees, major gift prospects, donors, volunteers, prominent social, business, government figures, and campus administrators and staff, using a high degree of tact, diplomacy, and discretion.
Advanced experience with Microsoft software applications (with emphasis on WORD and EXCEL) necessary in administrative work, including database programs to retrieve current and historical information, compile reports, briefings, and spreadsheets. Ability to work with complex calendars (Outlook).
Experience with accuracy and timeliness for data entry work.
Experience producing financial and expense reports, and travel reimbursements.
Experience in writing/composition/spelling/using proofreading skills; understanding the rules of English grammar and syntax write clear and concise correspondence and briefings.
Responsible for following all UC Davis and UC Davis Health guidelines and policies.
Ability to manage small to medium size projects from inception to completion as needed for the department.
The ability to communicate tactfully and diplomatically (both verbally and in writing) with a diverse group of individuals including vice chancellors, campus administrators, development officers, deans, faculty, staff, volunteers, major donors, and the public.
Advanced organizational skills and the ability to effectively establish working relationships in a team environment.
Experience providing high-level customer service to a variety of internal and external customers and donors.
Experience independently coordinate a variety of tasks and functions; work around frequent interruptions; organize workload and set ever-changing priorities.
Ability to anticipate and provide for schedule changes; to work well under pressure with strict deadlines, realigning priorities as necessary.
Ability to analyze information, identify problems, formulate alternative solutions and present solution to manager.
Ability to follow through on tasks; updates team on status of projects and notifies of delays and obstacles.
Ability to maintain confidentiality for all candidate, employee, patient, donor, volunteer, departmental and university information and materials.
Ability to organize and coordinate daily work in an accurate and timely manner.
Demonstrated ability to use discretion and maintain confidentiality.
Ability to analyze options and solve problems independently on assigned projects while utilizing available resources to efficiently complete work as assigned.
Knowledge of the dynamics of fundraising and the concepts of development and advancement for an academic institution preferred.
Must be able to work some evenings and weekends.
