The NCAA Academic Records Specialist is responsible for determining eligibility for student athletes for the Undergraduate Registrar. This person also manages degree audits, and academic progress counseling for an assigned distribution of the undergraduate population. In addition to maintaining accurate academic records and upholding academic policy consistent with university standards, this position regularly interacts with this population to proactively assist students and resolve any issues related to degree completion and academic clearance for commencement.
Required Education * Bachelor’s degree or equivalent experience and education, master’s preferred.
Required Experience * Three to five years business experience, preferably in higher education. NCAA experience desired.
Primary Duties * Provides customer service in multiple modes within the area of Academic Services. This position serves students, faculty, staff, alumni, parents, and visitors to APU. * Evaluates NCAA eligibility and completes eligibility reports for each sport throughout the year, based on outlined schedules and processes for all student athletes. * Participates on the NCAA Compliance Committee. * Helps maintain the Azusa Pacific University NCAA manual in sections pertaining to academic eligibility. * Works closely with Compliance Administrator from Athletics to ensure that reporting to the conference is accurate and timely * Meets with student athletes who have questions regarding eligibility. * Participates in student athlete academic advising days during pre-registration to help ensure student athletes enroll in courses that count towards their progress towards degree requirements. * Evaluates and determines whether degree requirements have been met. Analyzes degree requirements, minimum GPA, completion of service credit hours and departmental requirements. Accumulates and records final information regarding graduation for undergraduate students. Posts degrees after all requirements are met. * Evaluates, determines, and communicates graduation status for each commencement ceremony to students. * Maintains accurate academic files of enrolled students. In addition, records pertinent details from conversations with students that may affect degree completion. * Communicates with the assigned student client base to proactively keep them informed of any policy or procedural change that might influence their degree. * Meets as needed, with faculty and staff to clarify academic and registrar policies. * Participates on Academic Department Curriculum Committee * Maintains contact with the students after graduation to assist them with finishing degree and university requirements as needed. * Provides information on transfer equivalencies, transfer inquiry, and policies governing transfer credit. * Collaborates with financial aid team to verify eligible courses for Title IV eligibility. * Supports staff, students, and faculty in New Student Scheduling process. * Assists students during add/drop, registration and pre-registration. * Collects various forms related to academic policies and requests. * Registrar staff will be required to participate in off campus orientation events, including any travel necessary. * Registrar staff will be required to work both Spring and Winter Commencement each calendar year. * Performs other tasks as assigned by the Assistant Registrar of Academic Progress, or UG Registrar.

Physical Demands * Requires sitting occasionally for extended periods of time, repetitive motions for operating computer mouse and keyboard. Hearing and speaking on telephone. * Ability to lift, pull, bend, grasp, occasionally lift up to 20 lbs., reach top of five-drawer file cabinet. * Able to conduct business at other offices on campus.
Technologies * Preferred experience with Gmail, Google Docs, Microsoft Office, and PeopleSoft.
