The Minneapolis College of Art & Design has an opening for a full-time, Administrative Assistant in our Records department. This position is hourly/non-exempt, and eligible for benefits. The Administrative Assistant - Records provides broad support to the Registrar in performing the functions of the Records Office.
Greet office visitors and assist individuals with inquiries in person, over the phone, and by email.
Observe confidentiality and adherence to FERPA at all times.
Prepare certifications of enrollment status, credits, attendance and graduation for the Registrar in response to internal and external requests. External correspondence as required. Fulfill transcript requests, electronically and on paper. Prepare transcript fees for deposit.
Prepare student registration materials, participate in advising and registration procedures, process and verify registration and schedule changes. Assist with new student registration. Interpret and explain MCAD policies and procedures, clearly and consistently. Notify students of registration issues. Other internal correspondence as required.
Contact with outside agencies, social security, federal and state offices, which require certification of student enrollment information. Serve as School Certifying Official for military educational benefits.
Assist with Continuing Education registration, grade entry, and record-keeping. Provide letters of course completion. Consult with Registrar and Continuing Education to maintain and improve intra-office procedures.
Assist with the maintenance of an office policy and procedures manual.
Process official record changes and forms submitted to the Records Office, both electronically and on paper. Maintain efficient distribution and filing procedures.
Provide data and other information to other offices as directed by Registrar. Work with other offices in a communicative, collaborative, and helpful manner.
Supervise work study students: schedule shifts, monitor performance and attendance, delegate appropriate daily and periodic tasks.
Manage office operations: mail distribution and retrieval, supply monitoring and ordering, replenishing stocks of forms and/or updating forms for online distribution.
Assist with commencement and other college events as needed.
Other tasks as assigned.
This position supervises the work study students in the Records office.
High school diploma, or equivalent, required.
Post-secondary education/experience preferred.
Minimum 3 years administrative/office or customer service experience, preferably in an educational environment.
Knowledge of college registration procedures beneficial.
Knowledge of sequential databases or student information systems highly beneficial.
High level of accuracy and attention to detail.
Strong verbal and math skills.
Strong MS Word, Excel, Adobe Acrobat, and data entry skills.
Excellent organizational, problem-solving, and interpersonal skills.
Experience with diverse populations.
