Rutgers, the State University of New Jersey is seeking a Program Coordinator for the Office of the Dean at the New Jersey Medical School (NJMS). The Program Coordinator is responsible for the coordination of high-level activities in the New Jersey Medical School, such as executive-level searches, stewardship reviews of academic departments of New Jersey Medical School, and preparation for NJMS Faculty Council Meetings, including creation of an agenda, minutes and distribution of materials. When necessary, the Program Coordinator provides support to the Dean and Executive Vice Dean of NJMS.
Coordinates the academic departmental stewardship review process. Communicates with departments under review with regard to their submission of materials for reviewers. Creates schedules for stewardship reviewers, arranges for reimbursements for all costs associated with departmental reviews.
Coordinates activities as required for executive-level searches. Arranges meetings of search committee members, coordinates and prepares schedules for candidates' visits to the medical schools; ensures that search committee chairs are fully supported in their efforts to recruit executives to the institution.
Provides high-level staff support to the New Jersey Medical School Faculty Council through the arrangement and preparation for meetings, production of meeting schedules, writing of agenda and minutes for each meeting, and distribution of Faculty Council materials for each meeting.
Organizes activities in support of the New Jersey Medical School Board of Advisors. Responsible for maintaining contact with the Board of Advisors, inviting them to quarterly meetings, ensuring that the needs of the Advisors are met during their visits to the campus.
Organizes activities in support of the retired faculty of the New Jersey Medical School. Responsible for maintaining contact with the retired faculty, inviting them to regularly-scheduled meetings, ensuring that the needs of the retired faculty are met during their visits to the campus.
Plans and schedules the work of the Office of the Chief of Staff to make maximum effective utilization of support staff, equipment and material within budgetary requirements.
Assists in the organization and expedites the flow of work through the Dean's Office. Maintains records of correspondence/supports containing established due dates, and initiates appropriate follow-up action to prevent delinquent responses.
In support of the Chief of Staff, assists in the writing and disseminating of communications between the Dean's Office and the Executive Vice Dean's/Associate Deans' offices, and within the University (Office of Academic and Clinical Affairs, Office of the President, etc.).
Obtains and organizes non-union managerial evaluations prepared by senior executives at New Jersey Medical School. Records evaluation scores and maintains files for these individuals in the Office of the Dean. Prepares reports on this information for the use of the Finance Office and the Chief of Staff.
Responsible for the coordination of special activities for the Office of the Dean.
Minimum Education and Experience:
Bachelor's Degree plus three (3) years of responsible experience involving the review, analysis and evaluation of budget, organization and administrative practices, data processing applications and the recommendations of improved methods in a large business or government agency or an educational institution.
Equivalent experience, education, and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities:
Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access and PowerPoint.
Physical Demands and Work Environment:
PHYSICALDEMANDS: Standing, sitting, walking, talking and hearing and lifting equipment. No special vision requirements. Ability to exert or lift up to 25 lbs.
