Rutgers, the State University of New Jersey is seeking a motivated Staff Assistant for the Anesthesiology department within the New Jersey Medical School. The Staff Assistant performs a wide variety of administrative and support services within the Department. The Staff Assistant will assist in the planning and support of program activities and coordination of office operations.
Among the key duties of this position are the following:
Provides clerical support to the office of the chair on a day to day basis including file maintenance, calendar maintenance, copying and phone coverage when necessary.
Receives and appropriately handles incoming correspondence, makes appointments, schedules meetings and responds to inquiries.
Develops and implements controls for work assignments under the direction of the director.
Assists in processing Faculty Affairs and Medical Staff Office credentialing documents for new hire and re-appointment of faculty, physicians and CRNA's.
Maintains Department Library, to include the cataloging and tracking of all books.
Maintains conference room utilization schedule.
As assigned prepares and/or complies data for special projects and analyses, monthly reports, program evaluations and other related reports with prescribed guidelines.
Undertakes routine writing and editing assignments; generates correspondences for signature; establishes and maintains mailing lists including faculty alumni list.
Maintains or assists in monitoring expenditures and ensuring compliance with budgets.
Coordinates and maintains assigned department calendars. Exercising discretion, applies informed independent judgement to help manage the directors time, makes travel arrangements and prepares meeting agendas.
Minimum Education and Experience:
Bachelor's Degree in Liberal Arts, Public or Business Administration, the Social Sciences or a related field, plus one (1) year of professional level experience in a business office, government agency, or university setting.
Equivalent experience, education and/or training may be substituted for the education requirements.
Physical Demands and Work Environment:
Ability to exert or lift up to 25 lbs.
Salary: Maximum authorized hiring amount $45,000
