Essential Job Duties:
The COSS Support Specialist is a member of the staff of the North Carolina Cooperative Extension (NCCE). The Support Specialist's primary responsibility is to provide support to the Extension staff where assigned. The Support Specialist cooperates with colleagues in the NCCE and county leaders in performing assigned responsibilities. The performance of assigned responsibilities is governed by the philosophy, objectives, policies, and procedures of the NCCE.
This position performs administrative duties for Sampson County Cooperative Extension.
The duties include: Phone and lobby reception including answering the telephone, greets visitors and provides information by referring inquiries to appropriate personnel.
Preparing and distributing forms, educational literature and program related materials.
Assists assigned agents with composition and editing of routine correspondence.
Preparing newsletters from rough draft materials provided by Extension agents.
Posting newsletters, newspaper articles and educational materials.
Establishing and maintaining files.
Coordinates scheduling of Beaver Management Assistance Program.
Issues Burning Permits.
Markets and schedules programs for viewing on electronic sign at road and on county website/television at entrance to office.
Schedules and coordinates rentals of the George P. Upton Livestock Facility, as well as provides support to ordering supplies and scheduling cleaning of the facility.
Assists with financial management as needed, including receipting funds and making deposits as needed.
Submits maintenance work orders for the Extension Center and Livestock Facility to Public Works Department.
Prepares and bundles bulk mailing of newsletters and/or correspondence according to the US postal guidelines.
Operates (and maintains) a variety of standard office machines, including personal computers, phone, fax, shredding machine and photocopy machine. Serves as the computer contact for the Extension Center.
Participate in team meetings and activities, recording minutes and notes.
Supports the Extension Master Gardener Volunteer Association.
Other duties may be assigned.
Graduation from high school and two years office assistance and secretarial experience; or equivalent combination of training and experience.
Excellent interpersonal communication skills and teamwork ability is required.
Must have ability to greet customers with warm welcome and pleasant, patient demeanor, and approachable personality.
Good time-management skills, flexibility, and the ability to juggle multiple responsibilities.
Must be highly motivated and innovative.
Must be a good team member to support a positive work environment.
Discretion, diplomacy, sound judgment and the ability to solve problems independently.
Required to serve Sampson County during disaster response efforts, while offices are closed to normal operation.
Must possess accurate typing, editing, and computer skills.
Extensive knowledge of computer applications is required including Word and Excel.
Ability to work on issues and maintain confidentiality is essential.
Must have a willingness to learn new relevant software programs as they become available.
Experience in web-page management, desktop publishing, newsletter design and preparation preferred.
General understanding of HTML and web page development and maintenance is preferred.
Required license or certification:
Valid driver's license and reliable, personal transportation required.
