Job Description Summary
Reporting to the Manager for Distribution Services and in coordination and collaboration with the Main Campus Supervisor and Sr. Supervisor, supervises and otherwise oversees the day-to-day operation of the Perelman School of Medicine Distribution Services functions, including Mail Center, Receiving, Infectious Waste Removal, Remote Location Support, and Alcohol Storeroom. Coordinates with Scheduling & Event Services and Media Technology staff units on event set-up and other event related duties as required. In collaboration with DS Admin Coordinator, supervises staff usage of automated bar-code tracking system, provides input to management, often making recommendations, with regard to continued effectiveness of tracking system; maintains benchmarking and performance standards. Trains, coaches, counsels, monitors, and evaluates staff. Recommends and proposes policies and procedures for Distribution Services. Ensures workplace safety and compliance with all governing regulatory authorities. Serves as liaison between staff and customers as well as others in the department to assure members of the Perelman School of Medicine receive the highest quality service from Space Planning & Operations. Provides opportunity for training to staff. Maintains occupational currency through attendance of training and trade shows. Serve as Remote Campus backup to DS Admin coordinator as liaison with Perelman School of Medicine Information Services LSP on all Distribution Services computing issues. Must be physically able to perform the duties and functions of this position. Performs other related duties as assigned. This position is considered âœessential.â
An Associate's Degree or two year college equivalent and 2 to 3 years of supervisory experience or equivalent combination of education and experience is required - 5 years to 7 years preferred. Experience supervising hourly staff. Experience with electronic scanning tracking systems administration, operation, and reporting. Experience with metric and variance reporting. Excellent organizational abilities and oral and written communications skills. Excellent telephone manner. Ability to deal effectively with diverse constituencies. Ability to work effectively under constantly changing deadlines and priorities. Ability to work independently. Excellent logistics, customer service, telephone, and coordination skills. Advanced knowledge of PC using MS Office, Adobe Acrobat, Oracle Calendar, and Email. Must be detail oriented, able to work independently, and exercise discretion in working with confidential and sensitive matters. Ability to exercise judgment based on established policies and practices. Working knowledge of office standards and procedures. Ability to manage time well and meet regular deadlines. Must not be bothered by unpleasant odors. NOTE: This position is considered "essential."
