ADMINISTRATIVE ASSISTANT II , Naval Science , to perform complex and diverse duties in support of the professor of Naval Science and the Naval Science Reserve Officer Training Corps (NROTC) program hosted at MIT. Will perform a wide range of reception and administrative duties for NROTC staff consisting of various Navy and civilian personnel and students/midshipmen from six colleges/universities and function as a high-level individual contributor/coordinator of multiple projects. Responsibilities include composing and editing correspondence/documents in civilian and military formats; working with departmental newsletters and other publications; assisting with preparing materials for site and departmental visits; coordinating mass mailings; updating/maintaining website content; monitoring/ordering office inventory; selecting vendors and using signature and purchasing authorization; coordinating high-profile events; scheduling diverse, complex appointments/meetings/travel; providing weekly expense updates; monitoring and reconciling accounting statements; generating requisitions, tracking expenses, verifying credit card charges, and maintaining backup; assisting with monitoring/reconciling accounts in SAP; preparing and processing purchasing/accounting forms; providing training regarding policies and procedures; responding to inquiries as primary handler of incoming telephone calls for the commanding and executive officers; setting up appointments for potential applicants; and performing other duties as needed.
Job Requirements REQUIRED : three years' administrative, office, or related experience; strong organizational, interpersonal, and communication skills; ability to represent the work area and larger MIT community; proficiency with Microsoft Office (Word, Excel, PowerPoint, Access, Outlook), basic HTML, electronic mail, and negotiating/searching the internet; willingness to learn new programs, troubleshoot problems, and enhance skills; and general understanding of own work and how it impacts operations outside own work unit.
