Chapter Services Coordinator (non-profit)
The Chapter Services Coordinator will undertake a variety of administrative and program support tasks as well as assist in carrying out important operational duties, planning/organizing programs and serving as the main point of contact for chapter, council and community inquiries.
Utilizes scope of knowledge of IFMA products, services and processes to be able to answer component service requests, or in the absence of such resources be able to direct to the appropriate party
Provides an outstanding level of service by answering component requests and communications in a timely fashion, and completing received requests to ensure they are answered either by liaison or by other IFMA staff person
Serves as a resource, coordinator for components calls, webinars, meetings as directed by Components Team Lead
Ensures component governance documents are on file and up to date
Filing of state incorporation documents at renewal and deals with various issues relating to each state’s requirements
Moderates and creates opportunities for connection with online community for component leaders and members
Keeps accurate records of component interactions for liaisons to assist components with full knowledge of previous requests
Awards of Excellence process execution, as directed by Components Team Lead
Facilitates component recertification process
Assists with documentation and ongoing update of component procedures
Execution of component communications, component leader update emails, and article inclusions for IFMA publications
Processes component applications, additions, transfers, and contact information updates as required
Assists with content updates for IFMA-run component websites
Completes component leader identification in IFMA database
Assists with component needs at IFMA conferences such as the Annual Meeting and volunteer leader track
Provides information updates to IFMA staff making component visits
As directed by Component Team Lead, identifies, supports and executes tasks related to development of new components and executes decertification process for those that cannot meet minimum standards
Assists in promotions of IFMA’s products and services to components
Oversees component dues remittance forms, including managing list and communication
3-5 years of business administrative and customer service experience and/or training. Bachelor's degree from four-year college or university preferred.
Knowledge of Microsoft Office software, Internet navigation software, association management database software, OpenWater, and GoToMeeting/GoToWebinar platform software.
