| Associate Director - Donor Relations (Events) Dana Farber Cancer Institute Brookline, MA The Associate Director of Events on Donor Relations is responsible for implementing a comprehensive and robust portfolio of recognition, stewardship, and cultivation events. Accountable for executing all projects within budget and on time, the Associate Director will secure the best value from vendors, collaborate with Institute departments, and ensure alignment with policies and standards. The position will participate in creation and implementation of the annual events operating plan and will supervise an Assistant Director. Responsibilities: - In collaboration with the Director of Events, contribute to the creation of the annual operating plan, analytics, and strategic projects for 80+ annual recognition, stewardship, and cultivation events.
- Manage an Assistant Director and assign annual event portfolios:
- Help staff plan, manage, and run their assigned event portfolio.
- Assist in the selection and management of speakers for programs where Donor Relations manages the relationship with speakers.
- Ensure all details are managed and deadlines are met.
- Review briefings, including for Dana-Farber’s leadership, and management reports.
- Review and edit all invitation copy, program books, and event materials.
- Serve as the main event manager for a portfolio of high-profile annual recognition, stewardship, and cultivation events:
- Supervision of event goals, catering, A/V needs, printed materials, and staffing.
- Coordinate briefing materials for the President and CEO, Senior Vice President and Chief Philanthropy Officer, faculty, and philanthropy staff.
- Strategize appropriate speakers and manage the relationship with selected speakers throughout the event planning and implementation stages.
- Work with vendors to obtain best prices and services.
- Prepare and monitor budgets for all events.
- Prepare event evaluation, follow-up materials, and management reports as required.
- As a specialized strategic event partner, responsible for building credibility and trust with Business Unit colleagues.
- Participate in the strategic planning process related to new event concepts and translate Institute-wide initiatives and funding priorities into targeted event programs.
- Track project time in QuickBase and oversee direct report time tracking.
- Create and oversee implementation of project management tools, policies, and procedures to elevate event planning and success.
- Work closely with senior management to ensure all fundraising goals are accomplished through the execution events.
- Seek ways to ensure quality, efficiency, and effectiveness of event capabilities.
- Reports to the Director of Events.
- Directly supervises an Assistant Director.
- Responsible for assisting the entire Division with reaching financial goals.
Qualifications: - Bachelor’s degree required with a minimum of 5-7 years of professional experience.
- Philanthropy and event experience required.
- Direct report management experience required.
- Significant donor and volunteer management experience strongly preferred.
- Strong people management, leadership abilities, and project management experience.
- Sharp attention to detail and ability to review and edit materials.
- Exceptional organizational skills and ability to assess and correct processes and procedures.
- Effective in working with wide audiences, including highest level of Dana-Farber constituencies.
- Strong sense of client support and success.
- Positive, can-do attitude; willing to do what it takes to meet the goals of the Division of Philanthropy.
