The objective of UW Medicine Supply Chain Management is to ensure our patient care experience is enhanced by delivering a robust foundation of services, operational and technical support, and the sharing of comprehensive, relevant, and highly specialized supply chain management expertise.
UW Medicine Supply Chain Management has an outstanding opportunity for a full-time professional staff SYSTEM INVENTORY CONTROL COORDINATOR. The System Inventory Control Coordinator is responsible for partnering with UW Medicine management to pursue opportunities for reduction of expenses in equipment, supplies, and service areas for all aspects of the supply chain.
This position is accountable for managing assigned inventories through daily, weekly, monthly, and quarterly cycle counts, annual physical counts, requisitioning replenishments, seeking alternative sources and materials when necessary, maintaining communication with supported customers, monitoring supplies usage, and removing and disposing of obsolete or outdated products. The IC Coordinator organizes and leads staff in conducting periodic inventory counts, adjusts quantities and locations, when necessary, and records and reports discrepancies to management. The IC Coordinator is accountable for the implementation of the UW Medicine Supply Chain Materials and Logistics strategy under the direction of the System Inventory Control Manager or entity Supply Chain leadership.
This position is responsible for working with key operational stakeholders within UW Medicine as well as their Supply Chain peers within specific entities to include participating in and partnering with others on UW Medicine Materials & Logistics operational improvement efforts and programs, ensuring a compliant, effective, and streamlined operational UW Medicine Supply Chain experience at the local entity for all clinicians they partner with.
Under the direction of the System Inventory Control Manager or entity Supply Chain leadership, the position is responsible for the management of all perpetual and par inventories as well as specific periodic inventories, supplies received, stored, and issued at UW Medicine entities as directed. In many instances, the position will serve in clinical areas (OR, Cath Lab, etc.), ensuring inventory control policies and procedures are properly implemented while working closely with clinical staff to provide excellent patient care.
Duties & Responsibilities:
Process, Quality, and Service Improvement:
- Organize multiple projects and schedules to meet demand and shifting priorities.
- Perform challenging tasks efficiently and effectively.
- Anticipate problems and take corrective action prior to completing the task.
- Assist in the implementation of system-wide collaborative systems and structures utilizing the distribution partner as the primary utility to improve inventory turns and reduce facility redundancies in supply logistic and warehouse operations.
- Ensure system compliance for Joint Commission Accreditation and other regulatory bodies for storage and delivery of supplies as well as recalled or suspended inventory products.
- Understand, communicate, and implement standardized continuous process improvement strategies to include Six Sigma and Lean to all staff, and also promote the ongoing strategic vision and goals of UW Medicine Supply Chain at the facility level so that consistent implementation is carried out.
- Engage in continuing education initiatives to ensure that leading-edge technologies are utilized appropriately within the system.
- Demonstrate strong attention to detail and outstanding analytical skills.

- Apply correct cycle count and other standard operations procedures.
- Analyze product usage and adjust inventory levels as appropriate to optimize inventory levels at the entity.
- Anticipate supply needs and communicate potential interruptions to Manager/Supervisor and customers.
- Monitor all additions, deletions, and changes to main stores and to unit PAR locations, and work closely with departments prior to and during product conversions.
- Maintain and monitor distribution statistics. Create and submit monthly reports and others, as requested.
- Independently make decisions and take action regarding supply shortages, keeping management informed, and/or make recommendations based upon analysis of information.
- Perform causative research and reconciliation prior to preparing reports.
- Assist in all patient supply product evaluations.
- In coordination with Supervisors and Managers, assist in development of departmental policies and procedures.
- Lead entity product recalls and product returns.
- Represent the entity on product committees and other committees, as directed.
- Responsible for the maintenance and operation of automated point-of-use (POU) systems (Intellishelf, SpaceTrax Pyxis, etc.).
Fiscal Management:
- Work with Supply Chain leadership to implement system-wide standardized inventory control and cycle counting strategy to provide appropriate financial controls and management.
- Responsible to partner with UW Medicine management to pursue opportunities for reduction of expenses in equipment, supplies, and service areas for all aspects of the supply chain.
- Deliver cost savings and value maximization to the total cost of ownership of equipment, supplies, and services while fulfilling the mission of the organization.
- Ensure appropriate Internal Control processes are in place across the procurement cycle functions and are promulgated throughout the enterprise.

- Provide day-to-day accountability for supply inventories, monitoring volumes, flow, and sourcing. The System Inventory Control Coordinator will provide oversight for inventory-related projects and assignments. The System Inventory Control Coordinator may lead work on behalf of the supervisor or as directed by management.
Information Management:
- Rapidly summarize information and present to others.
- Optimize use of Materials Management Information System and other supply chain automation tools that work to eliminate unnecessary work, simplify necessary work, centralize simplified work, and automate centralized work.
- Utilize standardized system-wide dashboard analytics to measure inventory levels, ensure proper inventory controls and other supply chain operations key measures of performance to ensure they are measured and monitored, and goals are met.
- Function as Information Services Liaison for training users in current electronic requisition system.
- Maintain current Materials Management Information System supplies database in conjunction with System Supply Chain Management database management teams.
