![]() CONTRACTS AND GRANTS SUPV 1 (Research Administrative Supervisor) Department Description This is the sole position within the Transportation, Energy, Policy and Air Quality Cluster for financial processing, accounting and extramural analysis. Provides support to CAO with budget and financial reporting, assisting in administrative matters throughout the cluster as needed, interacting with all levels of faculty, researchers, staff and students. Work closely with Research Administrators to obtain accurate account information. Act as cooperative liaison with sponsored programs and central campus officer. Serve as a backup in approving Kuali, AggieTravel and AggieBuy documents during the CAO's absence. JOB SUMMARY Under general direction of the Chief Administrative Officer (CAO), this is the lead position and primary advisor for fiscal, sponsored research, and business operation activities within the department in support of the Transportation, Energy Policy and Air Quality cluster. Responsibilities include: interpreting and applying university regulations, policies and procedures pertaining to research award administration; financial administration; budget development and analysis; compliance monitoring; overseeing purchasing, travel/entertainment accounting, and personnel functions. Fund sources include federal, state, private gifts and grants, endowments, self-supporting activities, inter-campus funds, student fees, and reserve funds. Manage and analyze financial data from a variety of revenue streams including extramural contracts and grants, gifts, endowments, state general funds and other funding sources to provide forecasting and control of complex budgets. The Research Administrator Supervisor directly supervises 4 FTE who provide pre- and post-award support for sponsored projects, manage faculty accounts (federal, state, private gifts, student fees, reserve funds) ensuring the appropriate accounts are used for purchasing, accounts payable/receivable, travel and entertainment reimbursements expenses. Maneuver office materials weighing up to 25 lbs. WORK ENVIRONMENT Work some overtime including evenings and weekends to meet project deadlines and/or operational needs. QUALIFICATIONS Required: Experienced research contract and grant fund manager with in-depth knowledge of federal and state fund costing policy and uniform guidance, effort reporting, and close-out policies and procedures. Experience in financial analysis, forecasting and strategic planning to analyze and compile financial data and reports. Experience using automated financial and payroll/personnel systems. Critical thinking and problem-solving skills to analyze complex data and develop meaningful solutions to specific problems. Ability to recruit, select, train, assign workload, and evaluate performance of staff. Ability to build teams and motivate staff. Organizational skills to work with changing priorities and demanding workload, and to use independent judgment to make logical decisions. Experience performing high-level analytical work, preparing financial reports, analyzing complex information, performing independent research, presenting complex data in a way that facilitates decision-making and making strategic recommendations. Interpersonal, verbal and written communication skills to clearly and effectively interact with a diverse group of individuals to secure and/or provide information to clarify situations, resolve problems, and negotiate services and/or agreements. Experience using Microsoft Office Suite (Word and Excel) to utilize various programs and software for word processing, spreadsheets, and website applications. Experience writing, editing and proofreading clear, grammatically accurate documents and email. Preferred: Experience with UC Davis accounting systems including KFS, DS, Cayuse and AggieTravel. Experience working in a primarily extramurally funded unit. Experience interacting with offices such as the UC Davis Sponsored Projects and Extramural Accounting offices. Analytical skills to assume responsibility for coordination and completion of complex projects requiring interactions with many internal parties in a large organizational structure. Experience with federal and private compliance regulations governing grant budgeting, financial reporting, cost-sharing standards, cost allocation, and policies regarding use of grant funds. Knowledge of cost allocation methods. Leadership skills to implement new systems and processes that improve the overall effectiveness of the unit.
