Working as part of the Global Partner Resources team, the Partner Resources Benefits Senior Manager (the “Manager) has responsibility for i) supporting new, current and retired partners on global and local benefits and overall health and wellness matters and ii) supporting all benefits related activities overseen by the Global Head of Partner Resources.
The Partner Resources team is tasked with facilitating partner onboarding through departure, and all changes and activities in between and after transition out of the Partnership. Working closely with the Benefits team, Pension team and other colleagues in Partner Resources, the Manager will directly support partners/retired partners on any benefit questions or issues that arise and will be responsible for all benefits communications with partners, both ad-hoc communications and annual communications such as open enrollment as well as implementation/transition of new benefits and benefits systems. In addition, the Manager will have direct contact with benefit providers/brokers/vendors to support partner needs. The Manager will own several projects and processes related to administering global benefits and supporting the benefits transition of partners leaving the partnership, and they are expected to support these projects/processes through completion, make relevant decisions and collaborate with the Benefits team, other Partner Resources team members and other functional areas as necessary.
Candidates for this role should have a deep knowledge of benefit plans and pension plans and have extensive experience in benefits management and vendor management. They should be proficient in project management and benefits administration and be able to utilize analytical skills to research and effectively resolve complex issues as well as offer suggestions to improve processes. Strong communication, administrative skills, and superior organizational skills will be required. It will also be important for the Manager to seamlessly coordinate with the Benefits team to quickly resolve issues and research questions on behalf of partners/retired partners. The role would be well suited to an individual with a deep understanding of global benefits and strong client service delivery approach that is comfortable with interacting regularly with partners in a global environment.
This is a busy team with daily deliverables and requires a calm and approachable attitude as well as the confidence and maturity to deal with people at all levels within the White & Case globally (partners, leaders, and Business Services) and externally (including retired/departed partners, vendors). It is essential that a professional, helpful and friendly attitude is shown at all times and that the individual can handle partner requests and leader requests with a ‘white-glove service’ approach.
This is a role that assists global stakeholders with queries and communicates directly with partners, retired/former/departed partners and Firm leadership (i.e., Regional Section Heads, Regional COOs, Executive Committee, and Business Services Leaders). The successful candidate will need to be able to demonstrate some flexibility with regard to working and responsiveness outside of core business hours for this reason. Working outside office hours on weekdays and weekends will be necessary at busy times.
Duties and Accountabilities
Sound and demonstrable knowledge of US, EMEA, Asia-Pacific, Brazil and Mexico benefit plan requirements with the ability to apply these comprehensively with a sharp focus on compliance, operational effectiveness and vendor management.
In conjunction with the Benefits team, oversee benefit consultants, administrators and providers in the development and pricing analysis of benefit options and programs for partners.
In conjunction with the Benefits team, responsible for identifying, implementing and maintaining schemes/services/plans that are current, competitive and in compliance with legislative requirements.
Keep abreast of current and developing legislation and regulations, analyzing how these might affect the Firm’s benefit plans and offerings.
Serve as primary contact for all partner benefit vendors globally, including but not limited to providing vendors with census files and working with vendors and partners on any and all claim resolutions.
Work closely with Compliance and Communications Manager to determine communication needs and develop robust, accurate and compliant communication materials for promotion of and description of all benefit programs offered in all offices.
Must be able to demonstrate strong presentation skills, including delivering presentations to partners on the new hire enrollment process as well as new/improved/changed benefit offerings.
Prepare and distribute W&C benefit information to current partners, retired partners and newly promoted partners during the annual open enrollment periods.
Prepare and distribute W&C benefit information to new lateral partners globally.
Responsible for notifying and following up with medical, dental and vison vendors of all new hires/status changes in order for them to prepare and distribute information kits/cards.
Update partner’s life insurance beneficiaries.
Coordinate the processing of voluntary supplemental life insurance applications and Evidence of Insurability forms, answer questions when applicable.
Coordinate with the Partner Compensation team regarding global benefit premiums for compensation deductions and retroactive deductions.
Audit of compensation deductions of benefit premiums for partners.
Maintain records and confidentiality procedures in accordance with HIPAA.
Handle benefit inquiries and complaints to ensure quick, equitable and courteous resolutions.
Ability to travel.
Bachelor's/College Degree in any field
Preferably 5+ years’ experience in global Benefits, Operations or HR administration
Demonstrate proficiency in the use of the Firm’s software, in particular, proficient in PeopleSoft, Microsoft Word, Excel and PowerPoint
Has an excellent understanding of concepts relating to benefits and human resource information systems, compensation, and reports generation
Highly customer and process focused
Must have great attention to detail and strict conformance to standards
Possess strong organizational skills
Strong written and verbal communication skills in English, and can effectively interact at all levels of the organization

This is an exempt role based in New York or Tampa.
This role reports to the Chief People Officer and the Global Head of Partner Resources and will work closely with the Senior Manager of Partner Operations.
