The Administrative Associate serves as a liaison between TAMUCT and US Army ROTC program ensuring the ROTC program is compliant with TAMUCT University policies.
Provide administrative support to the Director of Military programs and support to department operations; handling various complex tasks.
Provide information to prospective students regarding basic enrollment and contractual requirements for the Reserve Officer Training Course using effectual oral communication skills.
In addition to handling all correspondences, emails, and memorandums for the Military Science Department, also resolves problems and responds to inquiries regarding departmental procedures and services.
Maintains APMSs calendar reservations, and provides information related to supervisors planning, organizing and operation of the department.
Maintains and monitors TAMUCT ROTC budget/fiscal records of department accounts. Reviews and reconciles monthly and yearly university budget accounts. Uses the appropriate University system to process department purchases, and ensures accurate fiscal processing and initiates corrective fiscal action as required.
Serves as primary contact for vendors and contractors.
Budget maintained via University Business office.
Provide support related to classroom scheduling, student scholarship roster and liaise with the appropriate TAMUCT administrative and service offices to facilitate the departmentâ™s activities.
Responsible for maintaining office equipment, order supplies, equipment, printing, and arranges for maintenance services.
Prepare student and faculty travel requests for department; coordinate all social events and coordinate commissioning celebration.
Maintains fiscal property records, departmental administrative data, and academic files on Military Science students and personnel.
Performs records management of the office filing system; maintaining updated filing system, retrieving files and documents as needed and purging old records.
Process department purchases, and ensures accurate fiscal processing and initiates corrective fiscal action as required. Maintain office equipment, order supplies, printing, and arranges for maintenance services.
Serve as primary contact for vendors and contractors. Maintain and monitor TAMUCT ROTC budget/fiscal records of department accounts.
Interview student workers needed in the department/program work area. Supervises and responsible for the quality of work performed by student workers.
Interacts with department faculty, other university personnel, students, and the general public in providing information and referral, serving as departmental representative and responding to a variety of needs and requests.
Prepares information for security clearance on contracting students, update SIS with student grades and schedules, and prepares military personnel jackets to be mail to Cadet Command.
Helps prepare and submit the student packets for Leaders Training Course, Leadership Development Assessment Course, Cadet Professional Development Training, and Cadet Field Training.
Assist the department HRA in preparing and submitting Cadet Enrollment applications and scholarship packets.
Prepare, update, and maintain student and personnel information.
Other duties as assigned.
Education â“ High school diploma or equivalent combination of education and experience.
Experience â“ Four years of related experience.
Knowledge of â“ Knowledge of word processing, spreadsheet, and database applications.
