Position Summary: Under general direction, the Administrative Assistant will support the daily operations of the President's Executive Office (PEO) by providing timely and necessary administrative assistance across the entire team. This will include working with both the Presidential Correspondence team as well as the executive administrative team to manage and execute necessary daily administrative tasks, improve processes and procedures, and make sure the President's executive office runs seamlessly as changes and needs arise.
The Administrative Assistant 3 is expected to function as an integral part of a fast-paced team and ensure that assigned responsibilities are carried out in a well-organized, professional, and error-free manner, all of which directly affects the President's ability to carry out their responsibilities and the public perception of the President and the University. In performing their duties, this person must be cognizant of 1) the University's educational goals; 2) the legal and political sensitivities of particular issues facing the President's Executive Office, 3) the need to be sensitive to the impact of his/her assignments -- often highly confidential -- on individuals and organizations; and 4) the need for extremely high standards when completing any task for the executive office.

Provides administrative support to the President's Correspondence team including but not limited to drafting and editing correspondence, managing deliveries, mail merges, and printing and preparing action items and documents for review. This person will also provide backup support in the daily operation and administration of the PC team's SharePoint system.
Job Requirements College degree and two years experience providing administrative/professional staff and writing support, or an equivalent combination of education and experience.
Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
Must be extremely organized, adaptable, flexible, reliable, accurate, proactive, and a seasoned problem solver.
Excellent editing and writing skills to compose correspondence, public statements, and reports for high level administrators.
Ability to exercise political acumen, discretion, and judgment when working with a variety of sensitive issues, and highly confidential information. Required
Working knowledge of the University of California organizational structure, mode of governance, policies, procedures and regulations. Preferred
